Calendar & Schedule Management
- Manage and coordinate calendars for multiple Field Operations Managers
- Block and adjust time for site visits, scheduled concrete pours, meetings, and inspections
- Set up alerts, reminders, and notifications to support time-sensitive field activities
- Proactively communicate and respond to same-day schedule changes and urgent updates
Administrative & Operational Support
- Serve as a primary administrative point of contact for Field Operations Managers
- Coordinate internal and external meetings, including logistics and confirmations
- Maintain accuracy and organization across calendars, schedules, and communications
- Anticipate needs and provide proactive administrative support to minimize disruptions to field operations
Communication & Coordination
- Communicate effectively with Operations Managers, field teams, and internal departments
- Promote Suntec's core principles to cultivate a collaborative, accountable work culture and create an ESOP mindset that emphasizes ownership, teamwork, and long-term investment.
- Ensure timely dissemination of schedule changes and operational updates
- Support collaboration between office and field teams
Requirements
Qualifications:
- Prior experience in an administrative, coordinator, or executive support role (construction or operations environment preferred)
- Strong calendar management skills with the ability to juggle multiple leaders and shifting priorities
- Exceptional organizational skills and attention to detail
- Ability to work calmly and efficiently in a high-volume, fast-changing environment
- Professional communication skills (written and verbal)
- Proficiency with Microsoft Outlook, Teams, PowerPoint and other standard office tools
- Reliable, punctual, and comfortable working a consistent in-office schedule
- Preferred: Bilingual
