Job Description

POSITION SUMMARY:

 

The Accounting Clerk is responsible for performing a variety of accounting and clerical tasks related to accounts payable (AP), accounts receivable (AR), and payroll. A high degree of accuracy and confidentiality is required to ensure financial records are complete and accurate. This role is vital to the daily operations of the finance department and requires adherence to established standards and company policies

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Including, but not limited to the following:

 

Accounts Payable

1.      Process vendor invoices, verifying for accuracy, and ensuring proper coding and approval. Cross reference invoices with existing contract and agreements when necessary.

2.      Prepare and process payments to vendors, monitoring for correct due dates and discounts.

3.      Reconcile vendor statements and resolve any discrepancies by communicating with suppliers and internal teams.

4.      Maintain accurate and organized vendor records.

5.      Generate, distribute and file 1099 documents with the appropriate vendors and agencies.

 

Accounts Receivable

  • Prepare patient claims for submission to insurance payor in a timely manner.

  • Prepare and send out self-pay invoices in a timely manner and follow up with patients on overdue invoices.

  • Apply incoming payments (e.g., checks, wires, ACH) to patient accounts accurately and promptly.

  • Prepare and process bank deposits.

  • Reconcile accounts receivable ledgers to ensure all payments are accounted for and recorded. 

  • Assist with identifying and correcting claims issues.

 

Payroll

  • Assist with the bi-weekly or monthly payroll process by entering and verifying timecards and payroll data. Prepare and post the payroll journal entries.

  • Prepare and post journal entries and upload employee retirement contributions to fund website.

  • Prepare and post journal entry for PTO Accruals

 

Other

1.         Assist with inventorying and purchasing office supplies.

2.       Assist with employee retirement fund annual reporting.

3.       Prepare, post and pay intercompany invoices.

4.       Reconcile petty cash.

5.       Assist CFO with month end and year end closing procedures by posting journal entries, reconciling accounts.

6.       Assist with preparation of end of year financial review.

7.       Handle all financial and employee information with the strictest confidentiality and discretion.

  • Maintain accurate, complete, and confidential historical financial records by filing and scanning documents.

  • Perform other administrative and clerical duties as assigned. 

 

 

EDUCATION AND/OR EXPERIENCE & QUALIFICATIONS:

 

·         High school diploma or GED: This is the minimum educational requirement.

·         Related experience: 2 years relevant experience in a similar role, such as accounts payable or payroll clerk, or accounts receivable clerk.

·         Accounting software: Experience with Quickbooks online is preferred. Experience with Microsoft Office Suite is a must.

 

PHYSICAL DEMANDS/REQUIREMENTS:

 

  • Position requires professional and personal skills to cope with stress consequent to work that involves a high degree of mental, emotional and physical demands.

  • Regularly required to use hands to reach, write, use telephone and a computer, at times for extensive periods, sitting and standing frequently required. Occasionally required to walk, stoop, kneel, crouch, or climb stairs.

  • Ability to drive in a variety of adverse weather conditions, occasionally for lengthy distances or at night.

WORK CONDITIONS/ENVIRONMENT:

 

  • The noise level in the work environment is usually moderate.

  • Primary work location will be out of the Brookings office.

  • Working hours are generally 8:30 a.m. to 5:00 p.m. Monday through Friday. 

  • Employee will occasionally be required to work weekends, holidays, or other hours.
