The SITE SUPERINTENDENT acts as the assistant to the Leasing Agent. The purpose of the SITE SUPERINTENDENT is to oversee the daily operations of the property and ensure that the property objectives are met. These objectives will include maximizing occupancy levels and property values as well as maintaining the physical appearance and upkeep of the complex.
Duties and Responsibilities
Conduct all business in accordance with company policies and procedures, Fair Housing laws, Americans with Disabilities Act, Fair Credit Reporting Act, Section 8 and all other laws pertaining to multifamily housing.
Financial
- Oversees all daily operations of the property, including:
· Ensure that all rents are collected when due and posted in a timely manner. Makes sure that all bank deposits are made daily. Performs evictions, utility cut-offs, and tenant notices as required on delinquent rents.
· Provide constant vendor/contractor communications concerning work scheduling, billings, vendor relations, W9’s, and certificates of insurance. Resident Manager is responsible for approving and submitting all invoices in a timely manner to corporate office for payment.
· Maintain all on site local and state licenses.
· Oversee all daily operations of the property.
Administrative/Office
- Review and respond to incoming emails and phone calls promptly.
- Ensure that lease files are submitted to the Leasing Agent promptly and upon request.
- Assist the Leasing Agent with rental applications and signs new move-in contracts and addenda
- Conduct property inspections with local housing authorities, local, regional and national government agencies, property owners, and IMI Asset Management team, as needed
- Ensure that the property meets all requirements as outlined in IMI audits and regulatory agency audits as needed
- Responsible for office opening as scheduled, oversee the physical appearance of the complex to include the office, grounds, and common areas
- Attend assigned training courses as defined by the IMI*
- Maintain accurate, detailed records on all aspects of management activity on a daily, weekly, and monthly basis
Resident Relations
- Maintain positive employee service attitude.
· Complete periodic inspections with residents of move-in/move-outs.
· Perform occupied unit inspections as required by IMI policies.
· Follow IMI policies and procedures to maintain positive resident communications; e.g., resolving complaints, service requests, etc.
Maintenance
· Physically walk and inspect the entire property on a regular basis to verify the condition of the overall property, common areas, and vacant apartments.
· Clean units, as needed, to prepare for unit turns.
· Oversee the completion of work orders to ensure the repair and upkeep of units are current.
· Ensures that property hallways, restrooms and all common areas are clean and presentable at all times
Marketing/Leasing
· Show apartments, handle incoming phone calls from prospective new residents and completes appropriate paperwork as directed by the Leasing Agent.
· Attend monthly meetings, as assigned.
· Stress the importance of maintaining current phone numbers and email addresses of prospects and residents in order to maintain accurate system data
Safety
· Reports all liability and property incidents to the corporate office immediately. Ensures that all workers' compensation claims are reported and proper paperwork is completed.
General
· Performs any additional duties or tasks as assigned by the Regional Manager or IMI.
· Strives for superior customer service in all areas, including customer service within the company as well as outside the company with residents and vendors.
Qualifications & Requirements
Experience in management preferred. Must have a background in supervision and a successful track record of accomplishments.
- Must maintain a professional and courteous approach with residents, visitors, contractors, and fellow employees.
- Must have the necessary tools to effectively complete tasks outlined above.
- Must have the ability to follow oral and written instructions and be able to maintain effective and cooperative working relationships.
· High School diploma or equivalent required; college degree preferred.
Physical Abilities: To perform this job successfully, an individual must be able to:
- Regularly stand, climb, walk, hear/listen, talk
- Frequently lift up to 50-100 pounds, pull/push, carry, grasp, reach
- Occasionally sit, crawl, stoop, kneel
- Clearly see 20+ feet, with or without corrective lenses, ability to focus

Workplace Environmental Conditions
While performing the essential duties/responsibilities of this job, the employee will be:
Noise Conditions: exposed during a shift to constant or intermittent sounds at moderate to loud levels of sound dependent upon the activities of the property.
- Heat: subject to high temperatures
- Cold: exposed to low temperatures
Atmospheric Exposures: exposed to dusts, fumes, vapors, or mists
Computer Skills:
Word processing software, spreadsheet software, Internet, e-mail software, and on-site rental system software (YARDI Voyager). Office Equipment: Personal computer, calculator, typewriter, copy machine, fax machine, telephone, key machine. Work Hours :As needed. Must be available evenings, nights and weekends for staffing needs and emergencies.
EDUCATION/TRAINING
· High School diploma or equivalent required; college degree preferred.
DRIVING REQUIREMENTS
· Frequent need (10% to 15% of the time) to utilize personal transportation to inspect properties and surrounding neighborhood, and to make trips to the bank.
· Must have valid driver's license and automobile insurance.
