Order Entry Specialist/Receptionist
Position Summary
The Order Entry Specialist/receptionist is responsible for accurately processing customer orders and providing exceptional customer service across multiple communication channels. This role serves as a primary point of contact for customers and visitors while ensuring efficient order management and administrative support.
Key Responsibilities
- Accurately enter and process 20+ customer orders daily in the SAP system
- Review complex purchase orders and ensure all required information is complete and accurate
- Respond to customer inquiries via phone, email, and in-person regarding orders, products, and services
- Obtain and verify order-related details including payment, freight, availability, and order status
- Follow up with customers to resolve discrepancies or issues in a timely manner
- Coordinate with internal departments on shipping and billing processes
- Provide backup receptionist coverage, including greeting visitors and managing invoicing paperwork
- Screen and route incoming calls and communications appropriately
- Stay informed on inventory levels and product availability
Qualifications
- High school diploma or equivalent required
- Previous order entry experience in an office environment
- Proficiency with Microsoft Office Suite, particularly Outlook
- Experience using order entry or ERP systems (SAP preferred)
- Ability to process credit cards and other payment methods
- Strong multitasking, prioritization, and organizational skills
- Professional and courteous communication skills
- Strong problem-solving and critical-thinking abilities
- Ability to wear required personal protective equipment when necessary
