Order Entry Specialist/Receptionist

Position Summary
 The Order Entry Specialist/receptionist is responsible for accurately processing customer orders and providing exceptional customer service across multiple communication channels. This role serves as a primary point of contact for customers and visitors while ensuring efficient order management and administrative support.

Key Responsibilities

  • Accurately enter and process 20+ customer orders daily in the SAP system
  • Review complex purchase orders and ensure all required information is complete and accurate
  • Respond to customer inquiries via phone, email, and in-person regarding orders, products, and services
  • Obtain and verify order-related details including payment, freight, availability, and order status
  • Follow up with customers to resolve discrepancies or issues in a timely manner
  • Coordinate with internal departments on shipping and billing processes
  • Provide backup receptionist coverage, including greeting visitors and managing invoicing paperwork
  • Screen and route incoming calls and communications appropriately
  • Stay informed on inventory levels and product availability

Qualifications

  • High school diploma or equivalent required
  • Previous order entry experience in an office environment
  • Proficiency with Microsoft Office Suite, particularly Outlook
  • Experience using order entry or ERP systems (SAP preferred)
  • Ability to process credit cards and other payment methods
  • Strong multitasking, prioritization, and organizational skills
  • Professional and courteous communication skills
  • Strong problem-solving and critical-thinking abilities
  • Ability to wear required personal protective equipment when necessary
