General Summary:

The Manager of First Impressions manages the front desk operations, greeting visitors, answering calls, scheduling appointments, and handling administrative tasks. They ensure efficient communication and provide excellent customer service, maintaining a professional and welcoming environment. Proficiency in multitasking and organizational skills is essential for success in this role. 


Primary Responsibilities/Essential Job Functions: 


· Greeting and welcome visitors in person or over the phone.

· Answer direct phone calls, taking messages when necessary.

· Maintain employee and department directories direct visitors.

· Manage and issue visitor badges, ensuring security protocols are followed.

· Keep the reception area clean and organized, adhering to company policies.

· Handle administrative tasks such as faxing, copying, mailing, and filing.

· Distribute incoming and outgoing UPS/FedEx packages.

· Maintain and update hard copy and electronic filing systems.

· Generate and format letters and other documents as needed.

· Input data into the system to maintain accurate and up-to-date records.

Requirements

Requirements: 

  • At least 3 years of related work experience
  • Bilingualism is an asset.
  • Strong written and verbal communication skills.
  • Ability to work both independently and as part of a team.
  • Fast and accurate typing skills.
  • Proficient in Microsoft Office, including Outlook.
  • Familiarity with general office equipment and telephone etiquette.
  • Willingness to collaborate and work cooperatively with others.
  • Capable of meeting tight deadlines.
