This is a remote position.

Position Overview 

The Accounting Support Coordinator provides part-time administrative and operational support for the organization’s accounting functions. This role is responsible for monitoring the accounting inbox, responding to customer inquiries related to billing and invoicing, and supporting accounts receivable processes. Working closely with the Chief of Staff, this position helps ensure timely communication with clients, accurate invoicing, and consistent follow-up on outstanding payments. The ideal candidate is highly organized, responsive, and comfortable working with financial systems such as QuickBooks. 

Key Responsibilities 

As the Accounting Support Coordinator you will help manage: 

Customer Billing & Accounting Support 

  • Monitor and manage the organization’s accounting inbox, responding to customer inquiries related to billing, invoices, and payments. 
  • Serve as the first point of contact for client questions about invoices, payment status, or account details. 
  • Coordinate with internal team members to resolve billing discrepancies or questions. 

Invoicing & Accounts Receivable 

  • Support the preparation and distribution of client invoices. 
  • Track invoice status and maintain accurate records of billing and payments. 
  • Assist with accounts receivable (AR) follow-ups, including sending payment reminders and communicating with clients regarding outstanding balances. 

Accounting System Management 

  • Help maintain accurate records within QuickBooks, including invoice tracking and payment updates. 
  • Ensure invoices, payments, and client records are properly documented and organized. 
  • Support routine financial record maintenance and reporting as requested by the Chief of Staff. 

Administrative Coordination 

  • Maintain organized documentation of billing communications and financial records. 
  • Identify opportunities to improve invoicing workflows and billing processes. 
  • Provide additional accounting-related administrative support as needed. 


Requirements

Qualifications 

  • Prior experience with bookkeeping, accounting support, or administrative financial tasks preferred. 
  • Experience with QuickBooks or similar accounting software strongly preferred. 
  • Strong organizational skills and attention to detail. 
  • Excellent written communication and customer service skills. 
  • Ability to manage multiple tasks and follow up on outstanding items. 
  • Comfortable working independently in a part-time, remote or flexible environment.
