    Purpose Statement

    The job of Administrative Assistant - Elementary School Principal is done for the purpose/s of providing secretarial support to school-site personnel; communicating information to staff, students, the public, and other districts; ensuring compliance with financial, legal and administrative requirements; providing information and/or direction as may be requested; and supporting assigned administrative personnel.

    Essential Functions

     Assists in and/or orients volunteers and new site personnel regarding appropriate school and District practices for the purpose of effectively assimilating new personnel into site operations.

     Compiles data from a wide variety of sources (e.g. payroll, attendance, supply requests, calendar entries, Power School, staff communication, etc.) for the purpose of complying with financial, legal and/or administrative requirements.

     Compiles data from a wide variety of sources (e.g. supply requests, staff communications, student data software, leave reports, Absence Management reports, payroll, attendance, lunch program calendar entries, etc.) for the purpose of complying with financial, legal and/or administrative requirements.

     Coordinates a variety of programs and activities as assigned (e.g. substitute teachers, meetings, in- service day activities, workshops, ceremonies, dances, luncheons, field trips, supply inventory, Power School, DFI list, lunch fines, material and book fines, money collected for Bus Z-pass ID cards, fire drills, etc.) for the purpose of delivering services in conformance to established guidelines.

     Evaluates situations including emergency/disaster (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.

     Maintains a wide variety of documents, files and records (e.g. administrative records, office procedures, all forms, student files, etc.) for the purpose of providing up-to-date reference and audit trail.

     Monitors student activities (e.g. office, halls, attendance, etc.) for the purpose of maintaining a safe environment conducive to learning.

     Participates in meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.

     Performs record keeping (confidential and non-confidential) and general and program specific clerical functions (e.g. student and staff information, scheduling, copying, faxing, honor roll, Power School entry, Appetegy messages, etc.) for the purpose of supporting assigned administrator and/or maintaining accurate site information.

     Prepares written materials (e.g. parent and/or student handbooks, school profile reports, memos, letters, payroll timesheets, daily attendance, work orders, Absence Management reports, badges, calendars, schedules, etc. as assigned, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.

     Processes a variety of documents and materials (e.g. work orders, purchase orders, student files, attendance reports, etc.) for the purpose of disseminating information to appropriate parties and/or maintaining effective and efficient District functioning.

     Responds to inquiries from a variety of internal and external parties by phone, letter and/or in person (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.

     Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.

    Other Functions

     Assists other personnel, as may be required, for the purpose of ensuring an efficient and effective work environment.

    Job Requirements: Minimum Qualifications

    Skills, Knowledge and Abilities

    SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using job related software applications; performing standard bookkeeping; preparing and maintaining accurate records; administering first aid and/or prescribed medications; applying job-related codes, regulations and laws; planning and managing projects; promoting activities and/or events; and screening telephone calls.

    KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: accounting/bookkeeping principles; business telephone etiquette; concepts of grammar and punctuation; safety practices and procedures; age appropriate activities; job-related codes/laws/rules/regulations/policies; keyboarding; knowledge of community resources; office equipment and technology; and recordkeeping and record retention practices.

    ABILITY is required to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with similar types of data; and utilize job-related equipment. Independent problem solving is required to analyze issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited.     Responsibility

    Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; tracking budget expenditures. Utilization of resources from other work units is often required to perform the job's functions. There is some opportunity to significantly impact the organization's services.

    Work Environment

    The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing. The job is performed under conditions with some exposure to risk of injury and/or illness.

     

    Experience:    Job related experience with increasing levels of responsibility is required.

    Education:   High School diploma or equivalent; targeted job related education with study in job-related area.
