What to Expect OR Duties/Responsibilities:
- Provides administrative support to operations and support teams (primarily HR, Accounting and Marketing).
- Manage expense reporting, invoicing, and other routine data entry processes.
- Maintains files, databases, and archives of relevant records.
- Welcomes and assists visitors to the Dallas office; accepts and routes mail and packages.
- Screens calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging.
- Schedules and coordinates meetings, events, travel, and other group activities (including the employee engagement committee).
- Maintains office supplies and coordinates maintenance of office equipment.
- Maintains break room and other shared office spaces by keeping them stocked and orderly, and reporting any machinery/equipment/appliance issues.
- Supports McKinney office with ordering supplies and keeping it stocked.
- Performs other related duties as assigned.
What We're Looking For:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations and information with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Adept at prioritizing, scheduling, and multitasking.
- Ability to work independently.
- Proficient in Microsoft Office Suite or related software.
- Understanding of systems and practices related to electronic recordkeeping and filing.
Education and Experience:
- High school diploma required;
- One to two years of experience in an administrative role preferred.
- A/E/C industry experience desired.
Physical Requirements:
- Work in a climate-controlled office environment.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift as much as 15 pounds at a time.
