JOB SUMMARY

This position is responsible for providing exceptional customer service at the front desk and operating and managing the lesson reservation system. Provides a friendly, welcoming atmosphere which will encourage residents and guests to have an enjoyable and safe time. 

ESSENTIAL DUTIES AND RESPONSIBILITIES (Includes, but not limited to) 

  • Answer multi-line (3) telephone system and accept and disperse messages to appropriate personnel.
  • Perform any clerical duties as directed by Instruction & Player Development Manager.
  • Provide information on the Golf Academy instructional programs, dates, and fees.
  • Manage daily schedules for instructors and confirm appointments.
  • Complete and maintain group attendance sheets.
  • Input student history and backlog in database.
  • Develop proficiency with POS system, maintain cash drawer, and process credit card sales.
  • Assemble Golf Academy manuals and materials.
  • Work with Golf Professional and other staff to assure quality service within the instructional program and promote the golf instructional programs.
  • Handle all requests for information regarding the Golf Academy’s instructional programs.
  • Facilitate the registration and/or scheduling of students for private and group lessons for all academy facilities.
  • Maintain an accurate and up-to-date player profile on each academy student including, but not limited to, lesson history, lesson balance and contact information.
  • Update and maintain the lesson reservation system on a weekly basis with regards to future group workshops and New to Golf Schools, instructor assignments, locations, etc. as directed by the Instruction & Player Development Manager, Golf Academy Assistant and/or Lead Instructors.
  • Confirm all future lessons by telephone.
  • Maintain an adequate supply of instructional manuals and materials for each of the instructional programs and place fill-in orders as needed with prior approval from the Instruction & Player Development Manager.
  • Maintain an adequate supply of informational sheets and brochures at each of the Country Clubs, Golf Administration, and the Academy literature holder.
  • Assist Instruction & Player Development Manager and Golf Academy Assistant with information regarding lesson liabilities and status of individual student programs.
  • Represent The District at various functions such as Lifestyle Expo’s, Golf Festival, etc.

  • Performs other duties as assigned.
  • May be expected to perform additional duties in an emergency.

MINIMUM EDUCATION AND EXPERIENCE

  • High School Diploma or GED or three (3) to five (5) years of related experience and/or training; or equivalent combination of education and experience.

MINIMUM CERTIFICATES, LICENSES, REGISTRATIONS

  • Valid Florida Driver’s License required.
  • All candidates and employees must successfully pass background screening.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES (Includes, but not limited to)

Knowledge

  • Operating knowledge of various office equipment such as multi-line telephone system, photo copier, calculator, and excellent computer skills.

Skills 

  • Excellent communication and telephone etiquette skills.
  • Applicant must have strong working knowledge and use of Microsoft Office software including Word, Excel, and Outlook.

Abilities

  • Ability to read/write and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. 
  • Ability to write routine reports and correspondence.   
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.  
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Position regularly requires the use of office equipment, including but not limited to telephones, computers and productivity software.
