We are seeking a highly organized and detail-oriented Part-Time Remote Bookkeeper to support the financial operations of a growing craft brewery.

Description

Position Overview

We are seeking a highly organized and detail-oriented Part-Time Remote Bookkeeper to support the financial operations of a growing craft brewery. This role is responsible for maintaining accurate books in QuickBooks, performing detailed account reconciliations,

processing payroll, assisting with employee onboarding, managing vendor relationships, supporting customer payment follow-up, and assisting with weekly cash flow monitoring.

The ideal candidate is confident in QuickBooks, strong in account reconciliations, proactive in communication, and comfortable working independently in a remote environment.


Key Responsibilities

Accounting & QuickBooks:

  • Maintain accurate and up-to-date books in QuickBooks
  • Record and categorize all financial transactions
  • Perform monthly bank, credit card, and loan reconciliations
  • Reconcile Undeposited Funds, gift cards, and clearing accounts
  • Manage accounts payable and ensure timely vendor payments
  • Prepare and issue invoices as needed
  • Assist with monthly close process and reporting support
  • Maintain organized digital records and documentation


Accounts Receivable & Customer Follow-Up:

  • Monitor accounts receivable aging and maintain accurate customer balances
  • Follow up professionally on outstanding customer payments
  • Communicate with customers regarding past-due invoices
  • Escalate collection issues to management as appropriate
  • Apply customer payments accurately within QuickBooks


Payroll & HR Administration

  • Process payroll accurately and on schedule
  • Coordinate with payroll provider and ensure compliance with tax filings
  • Manage employee onboarding (I-9s, W-4s, direct deposit setup, new hire reporting)
  • Maintain employee files and payroll records
  • Track PTO balances and assist with benefits administration
  • Support offboarding documentation as needed


Cash Flow & Financial Support

  • Assist with weekly cash flow tracking and reporting
  • Track merchant deposits and POS settlements
  • Support inventory and deposit reconciliations (including keg deposits)


Vendor & Administrative Support

  • Manage vendor relationships and respond to accounting-related inquiries
  • Ensure vendor W-9s and compliance documentation are on file
  • Monitor and manage incoming accounting and vendor emails
  • Assist with insurance certificates and license tracking as needed


Qualifications

  • 3+ years of bookkeeping experience (hospitality or brewery experience preferred)
  • Strong proficiency in QuickBooks
  • Demonstrated experience with detailed account reconciliations
  • Experience processing payroll independently
  • Working knowledge of payroll compliance requirements
  • Strong Excel skills
  • Excellent organizational skills and attention to detail
  • Ability to work independently and meet deadlines in a remote environment
  • Professional written and verbal communication skills

  • Clear visibility into accounts receivable and cash flow
  • Minimal cleanup required at month end


This part-time position is not eligible for company benefits.
