About The Role

The Sales and Creative Services Coordinator, National Accounts is a senior-level support role within the National Accounts team, responsible for elevating proposal quality, strengthening vendor resources, and supporting sales and creative initiatives across destinations. This role balances advanced coordination, creative contribution, and process improvement while serving as a subject matter expert and collaborative partner to the National Accounts team.

 

Job Responsibilities

Essential Functions

  • Elevate proposal visuals through creative layout, décor concepts, diagrams, and trend-forward enhancements. (20%)
  • Support proposal formatting, templates, and transitions between systems (e.g., Viper to ECS). (20%)
  • Assist with site presentations, décor showcases, and live or virtual sales presentations; attend onsite as needed. (20%)
  • Maintain vendor PowerPoints, mock-ups, and visual assets to support sales and proposal efforts.(20%)
  • Serve as a subject matter expert and informal mentor to National Account Coordinators, sharing best practices in proposals, vendor research, and program administration. (20%)

 

Other Responsibilities

Proposal, Sales & Creative Support

  • Design and develop customized proposals, site inspection books, and client-facing materials that meet national account standards.
  • Research industry, design, and destination trends and proactively share insights with the team.
  • Support the creation and maintenance of sales tools and collateral, including look books, enhancement menus, and pricing guides.

 

Vendor & Resource Management

  • Develop, maintain, and enhance vendor libraries, décor inventories, and tariff/pricing tools across destinations.
  • Research, onboard, and maintain documentation for new vendors; ensure accuracy of pricing, visuals, and guidelines.
  • Coordinate supplier spotlights, appreciation initiatives, and post-program evaluations to strengthen partnerships.
  • Support annual tariff updates and ensure pricing, naming conventions, and templates remain current.

 

Operational & Administrative Excellence

  • Produce and oversee Letters of Agreement (LOAs), contracts, and related administrative documents with accuracy and efficiency.
  • Maintain organized documentation across multiple programs and destinations to support internal workflows and client communication.
  • Support inventory checks and asset tracking for partner hotels and décor resources.
  • Upload, organize, and archive event photography and creative assets for future reuse.

 

Team Leadership & Development

  • Partner with National Account Coordinators and Managers to review proposals and contracts for accuracy, efficiency, and brand alignment.
  • Participate in at least one live program annually to gain operational insight and apply learnings to future planning.
  • Engage in ongoing professional development related to sales strategy, creative services, and DMC trends.

 

Knowledge, Skills and Abilities

  • 1–2 years of experience in event planning, sales support, or DMC industry preferred.
  • In-depth knowledge of destination.
  • Strong organizational skills and attention to detail.
  • Creative mindset with an understanding of industry trends.
  • Excellent communication skills, both verbal and written.
  • Manage concurrent projects in deadline driven environment.  Must possess the ability to multitask. and perform efficiently under tight deadlines.
  • Detail oriented, resourceful and able to work independently as well as collaboratively.
  • Proficiency in Microsoft Office. (Word, Excel, PowerPoint, Outlook)

Communication Demands

  • Constant – talk and write to receive instructions and requests from manager, co-workers, clients and/or vendors.

  • Constant – respond to verbal and written requests/instructions from manager, clients, co-workers, and vendors.
  • Occasionally - visit different work sites. (i.e. activity vendors, venues, hotels, etc.)

 

Working Hours

  • Normal business hours: M-F, 8:30 a.m. - 5:30 p.m. (overtime may be likely).  Flexibility is important. (evenings/weekends may be required)
  • Required attendance mandatory for this position.
  • Full Time.
  • Non-Exempt.
