Job Description

Work Schedule: 15-20 hours per week; shifts based on operational need of the organization. Occasional weekend and evening hours required; this position is eligible to work a hybrid work schedule

 OVERVIEW

Associated Students, Inc. employs student-focused professionals with equity-mindsets. Established in 1963, ASI is a non-profit corporation guided by a student board and managed by full-time professional staff. ASI is considered a part of the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 27,000 students, by providing opportunities for student engagement, student employment, and a multitude of programs and services such as recreation and wellness, student union and activities, student government, and childcare. ASI operational support areas include human resources, financial services, information technology, facilities management, and marketing. ASI is engaged in the work of being a learning organization. Currently, the guiding ideas of the organization are “under construction” as the team re-imagines its vision, mission, and core values. Marketing & Strategic Communications not only serves all ASI’s internal marketing needs, but it also provides the campus and local community the opportunity to utilize their experience-driven, competitively priced, design and marketing communications services as well. Some of the services the team provides are digital bulletin boards advertisements, social media marketing, and design of logos, brochures, and posters.

POSITION DEFINITION

Under general supervision from the Design Coordinator, the Junior Designer Supervisor performs routine and non-routine tasks in support of Associated Students, Incorporated’s (ASI’s) dynamic marketing team. The Junior Designer Supervisor oversees the day-to-day operations of the Junior Designer needs within the ASI Marketing, Design, and Public Relations (MDPR) department. They ensure design standards are maintained, assign design projects, manage schedules and timecards, assist with the creation of graphic design, and all other tasks that ensure efficient and timely delivery of marketing assets. Along with their creative responsibilities, the Junior Designer Supervisor will take part in professional development through assigned tasks, video tutorials, and other methods of learning. This position is designed for the Visual Communication Design major. Preference will be given to students enrolled in VCD 1311A, 1321A, 1341A, 1312A, 1331A, and/or 1351A. 

ESSENTIAL DUTIES 

Creative/Artistic Responsibility 

  • Adapts and prepares designs for print, social media, and digital applications 
  • Assist in photography selection and manipulation, including masking, resizing, recoloring, etc. 
  • Assist with developing original marketing assets 
  • Assist with design updates and edits 
  • Prepare mockups for merchandise and production needs 
  • Prepares artwork for proofing and production 
  • Maintains and encourages proper application of ASI’s visual brand identity 
  • Work with Production team to resolve production artwork issues 
  • Provide creative insight for projects related to print, experiential, environmental, social media, and digital media 
  • Prepares artwork for presentations and pitches 
  • Performs other duties as assigned 

Organizational Responsibility 

  • Assists in interviewing, onboarding, and training new staff 
  • Maintain organizational file structure for all design related files 
  • Communicate with requestors, clients, and senior designers to complete projects 
  • Participate in and occasionally lead team meetings 
  • Manages the Junior Designers’ schedules 
  • Provides customer service to clients in need of graphic design 
  • Prepares Junior Design Team weekly meeting agendas and documents meetings 

Technical

  • Take part in regular professional development trainings 
  • Assist in the development of training and learning modules 

Supervision

  • Responsible for managing and assigning projects to the Junior Designers 
  • Responsible for the day-to-day oversight of the Junior Designers 
  • Responsible for reviewing and approving timecards 
  • Assists Design Coordinator with various projects  
  • Work closely with Senior Designers and Junior Designers to complete assignments 
  • Provides administrative support 
  • Assist in providing performance reviews for the Junior Designers 

Collaboration and Partnerships

  • Assist in providing consultation with clients and offering creative design solutions 
  • Collaborates directly with the Production, Operations, and Brand Ambassador teams on producing print and other assets for all in-house creative requests 

QUALIFICATIONS

  • Six months of supervisory experience preferred 
  • Experience with Adobe Creative Suite a plus 
  • Experience in the creation of graphic design (either client or academic based) a plus 
  • Preferred to have completed or to be enrolled in the following classes: 
  • VCD 1311A Foundations in Drawing 1  
  • VCD 1321A Foundations in 2D Design 
  • VCD 1341A Foundations in 4D Design 
  • VCD 1312A Foundations in Drawing 2 
  • VCD 1331A - Foundations in 3D Design 
  • VCD 1351A - Foundations in 5D Design  
  • Skilled in traditional illustration media, 3D, and/or photography a plus 
  • Ability to work in a cross-platform environment (MAC and PC) 
  • Proficiency in Microsoft Office Suite, especially Excel and Word 
  • Self-motivated with strong organizational and critical thinking skills 
  • Ability to operate a computer workstation using word processing, spreadsheet and other computer applications in use 
  • Ability to successfully complete tasks in a fast-paced, changing environment 
  • Ability to follow routine verbal and written instructions 
  • Ability to effectively communicate clearly and concisely, both verbally and in writing 
  • Ability to maintain professional work conduct

BACKGROUND CHECK 

A background check (including a criminal records check) must be completed satisfactorily before any candidate can begin employment with Associated Students, Inc., Cal Poly Pomona. EMPLOYMENT ELIGIBILITY

Employment with ASI is open to any Cal Poly Pomona student who is at least 16 years old and of legal status to work in the United States. In addition, the employee must be currently enrolled for at least 6.0 units (undergraduate) and 4.0 units (graduate), international student employees must be enrolled in a minimum of 12.0 units (undergraduate) and 6.0 units (graduate) at the end of the drop-add period, have a minimum 2.0 GPA (both Cal Poly Pomona and overall GPA) and be in good standing with the University. Individuals enrolled only in Extended University are not eligible for hire. Exceptions to the unit load requirement are allowed during the summer and winter semesters and for students who have applied for graduation for the current semester.  

WORK ENVIRONMENT

While performing the duties of this job, the employee is frequently required to sit, talk and hear; manual dexterity, eye-hand coordination, and verbal communication; use of office equipment: telephones, calculator, copier and fax. Must be able to walk, stand, bend and lift to 45 pounds.

Position subject to an occupational exposure to bloodborne pathogens. Annual bloodborne pathogen training is required. The initial training must be completed before the employee is assigned duties that may result in exposure to blood or bodily fluids. Hepatitis B vaccination will be offered after the training.
