Purpose of the Role
Union Savings Bank is seeking a detail-oriented and organized Shipping Specialist to support mortgage loan delivery, certification, and investor sale processes. This role is ideal for individuals who are process-driven, attentive to detail, and interested in developing expertise within mortgage operations and secondary market functions.
The Shipping Specialist plays a critical role in ensuring loans are accurately prepared, delivered, and certified in accordance with investor guidelines. In addition, this role provides exposure to loan sale execution, investor delivery strategies, and operational analytics—offering a strong foundation for growth within mortgage operations and secondary market functions.
Essential Duties and Responsibilities
Loan Shipping & Certification
· Receive and log mortgage files from the Funding Department
· Review loan files for completeness and accuracy in accordance with bank and investor guidelines
· Identify and resolve discrepancies in loan documentation, data, or file completeness
· Match original loan documents (notes, 1008, etc.) and validate accuracy of key loan data
· Ensure borrower signatures and loan terms comply with investor requirements
· Prepare loan files for shipment to document custodians
· Track shipments and monitor delivery status
· Monitor investor systems for certification status and resolve outstanding conditions
· Coordinate with internal teams to correct documentation or data issues as needed
Secondary Market & Loan Sale Support
· Utilize loan data (including 1008) to prepare loans for investor delivery and sale
· Assist with building and managing loan sale contracts to required balances
· Upload loan data and documentation through investor systems and resolve system edits
· Monitor loan status through delivery, certification, and funding
· Support loan sale execution, including exposure to investor selection and delivery processes
· Assist with best execution analysis across investors
· Support loan sale pricing and delivery strategy efforts
· Assist with hedging and pipeline awareness, including monitoring pipeline changes and impacts to loan delivery
· Support internal tracking of locked loans and sale commitments
Operational Support
· Balance shipping logs with daily funding reports and resolve discrepancies
· Maintain accurate tracking of shipped and delivered loans
· Assist with reporting related to loan delivery and certification status
· Collaborate with funding, processing, closing, and secondary teams to ensure smooth workflow
· Support cross-functional initiatives and process improvements within mortgage operations
Team Engagement
· Contribute to a culture of shared accountability and operational accuracy
· Remain open to coaching, process updates, and evolving investor requirements
· Take initiative in managing workload and meeting deadlines
· Communicate effectively across departments to resolve issues and improve workflows
Education and Experience
· High school diploma required
· Prior experience in mortgage processing, closing, shipping, or banking operations preferred, but not required
· Candidates with strong organizational skills, attention to detail, and a willingness to learn mortgage operations are encouraged to apply
· Proficiency in Microsoft Excel and comfort working with systems and data strongly preferred
· Experience with loan documentation, investor guidelines, or operational workflows a plus
· Familiarity with Calyx or similar loan origination systems a plus
· Demonstrated ability to learn new systems and improve processes through technology or data is highly valued
