Position Purpose:    

The Receptionist will play a pivotal role within the business. The primary role is to ensure that the front of house and administrative activities are carried out in a professional and team focused manner, highlighting any issues to the Office Manager. 

Main Job Functions/Responsibilities:

  • Answering incoming phone calls, taking messages, greeting both staff and visitors
  • Handling of incoming and outgoing mail
  • Daily maintenance of the office condition:
    -Taking care of the kitchen
    - Errands
    - Order stationery and equipment

    - Arranging repairs
    - Etc.
  • Dealing with all vendors, service providers and property management/landlord:
    - Quality control
    - Filing of insurance claims
    - Requesting fee quotes
    - Liaising with concierge

    - Etc.
  • Preparing of expense reports for staff
  • Assisting with the organization of meetings & events
    - Booking of hotels & restaurants, making travel arrangements for visitors
    - General tidiness
    - Organising equipment (e.g. whiteboards, etc.)
    - ​Etc.
  • Handling of incoming invoices:
    - Obtain appropriate sign-off
    - Scan accordingly to Financial Controllers or relevant Finance teams
    - Archiving
  • Responsible for Petty Cash 
  • Provide general support to visitors
  • Address employees queries regarding office management issues
  • Manage requests for articles on taxanalysts.com 
  • Assist with ad-hoc tasks assigned by the Office Manager
  • Ad-hoc tasks depending on needs 

Requirements

  • At least 3 years of experience in a similar role
  • Confident initiative-taker who is happy to work in a fast-moving, entrepreneurial environment.
  • Has flexible “can do” approach to work
  • Is polite, friendly, approachable and a team player
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Strong organizational and planning skills
  • A creative mind with an ability to suggest improvements
  • Business & Commercial Acumen
  • Excellent Communication and written skills in French and English (French mother tongue preferred).
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
  • Proficiency in MS Office
