The Specialist, Development Projects & Administration is responsible for establishing and managing key processes and projects to track and drive progress of the priorities for USO�s Development team.
Principal Duties and Responsibilities (*Essential Duties)
- Develop, organize and maintain project lifecycle-related documentation including scope of work, functional specifications, requirement specifications, project timelines and deliverable acceptance documents related to current and prospective projects.
- Coordinate with team members to identify requirements, scope, cost, resources, and schedule and quality objectives related to current and prospective Development projects.
- Manage the department budget (Major, Planned &,Corporate Giving) and other departmental financial projects and approvals. Track all financial data and serve as lead for preparation and submission of annual department budget.
- Serve as primary point of contact for Regional leadership and staff with regard to all fundraising and development initiatives, including but not limited to collaboration opportunities, advice and guidance on fundraising activations, best practices, donation platforms and campaigns.
- Manage the Major Gift portfolio and relationships on behalf of VP, Development. Create a strategic plan of outreach and relationship management. Update relationship data in the donor and prospect database, and coordinate donor retreats and prospect trips.
- Schedule and arrange staff participation in meetings, conference calls, events and other activities. Coordinate and prepare materials for meetings and events. Manage logistics for various events and activities. Prepare and process travel arrangements, credit card approval process, and attend meetings as appropriate.

Job Specifications - minimum knowledge, skills, abilities and behaviors necessary to perform the job successfully. Equivalent combination of education and experience is acceptable.
- Bachelor�s Degree in Business Administration, Marketing or related field. Master�s degree and/or PMP credential preferred.
- 3-5 years work experience in business development or organizational management role. Relevant project management experience in a not-for-profit, military, multicultural and/or global organization preferred.
- Advanced understanding of fundraising and development best practices and policies. Strong organization and analytical skills.
- Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
- Proficiency using computers and electronics equipment. General knowledge of various software, applications, and programs including but not limited to Microsoft Office Suite, Raiser�s Edge and IDMI.
- Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
- Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
- Ability to achieve desired results while working collaboratively in a team environment.
- Ability to perform basic business/accounting functions including project management and budget reconciliation.
- Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver�s license.
