Position Overview
The Sales Support Coordinator plays a central role in driving revenue, increasing market awareness, and delivering a seamless, high-quality client experience at the Watt Hotel. This position serves as both a critical administrative partner to the Sales Managers and a proactive contributor to business development efforts.
As the first point of contact for inbound inquiries, this role sets the tone for the client journey. Equally important, this position is responsible for supporting outbound prospecting initiatives that generate new leads and opportunities for the sales pipeline. The focus is not only on responding to demand but actively helping create it.
This role requires a high level of organization, responsiveness, attention to detail, and initiative. The Sales Support Coordinator is a key driver in ensuring inquiries are converted into qualified opportunities and that the sales team is consistently positioned with new business to pursue and close.
Key Responsibilities
Client Experience & Lead Management
• Serve as the primary point of contact for all inbound group, corporate, and event inquiries, ensuring a strong first impression and elevated client experience
• Deliver timely, polished, and professional responses to all prospect and client communications, maintaining strong response time standards
• Evaluate incoming inquiries and determine next steps, either responding directly or routing to the appropriate Sales Manager to support conversion and efficiency
Sales Operations & CRM Management
• Utilize Event Temple CRM to create proposals, estimates, and contracts across corporate, group, and social business
• Maintain accurate and complete records of all client communications, booking details, and activity within the CRM
• Conduct regular audits to ensure data integrity, reporting accuracy, and consistency across all bookings
Property Management System (PMS) Support
• Input and manage group rooming lists within the hotel PMS
• Update reservations and group details as changes occur
• Support group tracking and coordination between Sales and Operations teams
Revenue Support & Prospecting (Primary Focus Area)
• Actively support outbound prospecting efforts to generate new business opportunities for the hotel
• Utilize marketing strategies, digital platforms, and AI-driven tools to proactively identify, target, and engage new business opportunities, building a consistent pipeline of qualified leads for Sales Managers to convert
• Utilize tools such as Apollo, CRM data, and local market research to identify and target new accounts, event planners, and corporate clients
• Assist in building and maintaining prospect lists, outreach campaigns, and follow-up strategies
• Support Sales Managers by consistently feeding qualified leads into the pipeline for conversion
• Contribute to increasing brand awareness within the Rahway market and surrounding areas through proactive outreach and engagement
• Track lost leads and re-engage opportunities where appropriate to recapture business
Site Tours & Reservations
• Conduct property tours for prospective clients, delivering a polished, confident, and informative on-site experience
• Coordinate VIP reservations and tour-related logistics
Reporting & Administrative Support
• Track and manage group cutoff dates and key booking milestones
• Assist with reporting, survey tracking, and data collection to support sales performance
and decision-making
• Support overall organization of sales activities to ensure efficiency and accountability
Food & Beverage & Event Coordination
• Create and manage Banquet Event Orders (BEOs) in alignment with contracted event details, ensuring accuracy across all event components
• Serve as the primary liaison between the Food & Beverage Director and Sales Department, ensuring clear communication and alignment on all group and event requirements
• Coordinate event details including menus, timelines, room setups, and special requests to ensure seamless execution
• Ensure all updates, revisions, and client changes are accurately reflected in BEOs and communicated to the appropriate departments in a timely manner
• Support pre-event preparation by confirming all details are finalized and aligned between Sales, F&B, and Operations teams
