Project Coordinator / Estimator – Lead Mechanical Services Operations

Job Overview

  • Salary/Pay Rate: $65,000 - $75,000 per year, based on experience (Plus performance incentives).

  • Location: Stoughton, MA (Field + Office Hybrid).

The Opportunity

You will serve as the central operational link between business development and field execution, driving the success of our Mechanical Division. This hands-on role empowers you to take projects from initial concept through final closeout, ensuring every job is properly scoped and efficiently scheduled. Your expertise will directly impact our ability to scale operations while maintaining the high standards of reliability our clients expect.

How You Will Make an Impact

  • Translate field notes and site visits into comprehensive scopes of work to ensure project clarity.

  • Develop detailed estimates and proposals in direct coordination with leadership and key vendors.

  • Manage the full proposal lifecycle, including submission, tracking, and proactive customer follow-up.

  • Synchronize efforts across internal divisions—including Electrical and Fire Life Safety—for multi-trade projects.

  • Optimize field efficiency by pre-staging job records and assigning crews based on geography and priority.

  • Verify that all materials, vendors, and internal resources are fully prepared prior to technician dispatch.

  • Captured additional work opportunities and change conditions during job closeout to maximize project value.

Required Qualifications & Experience

  • 3+ years of experience in construction, mechanical services, or project coordination.

  • Proven ability to manage multiple complex projects simultaneously in a fast-paced environment.

  • Strong mechanical estimating, scheduling, or service coordination background.

  • Exceptional organizational skills with a high degree of attention to detail.

  • Excellent communication and follow-up skills to bridge the gap between field teams and customers.

  • Valid driver's license for travel to customer sites as needed.

Preferred Qualifications & Experience

  • Experience in plumbing, HVAC, or mechanical service environments.

  • Familiarity with service platforms such as FieldPulse, ServiceTitan, or ServiceChannel.

  • Proficiency in reviewing and interpreting architectural diagrams and technical drawings.

  • Previous experience working with commercial or multi-site clients.
