

Airfreight Coordinator

Key responsibilities
- Compliance with all TSA, DOT and Customs regulations (US and Foreign)
- Accurate, efficient preparation of all required paperwork for delay-free forwarding. Timely tracing/tracking and follow-up on all shipments in progress.
- Arrange inland and airfreight shipments
- Arrange transportation of shipments
- Responsive and comprehensive customer service via phone and email.
- Informs customer of unit prices, shipping date, anticipated delays, and any additional information needed by customer.
- Book invoices and bill customers after shipment is completed
- Development and maintenance of strong long-term customer and vendor relationships
- Overseas communications that includes anticipation of needs in overnight correspondence. (high volume at times)
- Consistent excellence in Reliability, Professionalism and Teamwork.
- Maintaining current knowledge of seasonal, political or other factors that could cause delay
- IATA DG certification a plus.
- Advise customer if the order is close to the current dollar discount and inquire if they would like to take advantage of the discount by adding on to the order.
- Writes or types order form, or enters data into computer, to determine total cost for customer.
- Prints shipment documents and forwards to the Customer Service Manager for review.
- Records or files copy of orders received.
- Follows up on orders to ensure delivery by specified dates.
- Computes price, discount, sales representative's commission, and shipping charges as required.
- Prepares invoices and shipping documents such as export papers, commercial invoices.
- Checks shipping orders to ensure they are accurate with regards to quantity shipped; this is done by comparing shipping documents with computer generated reports.
- Specifies if special labeling is required for shipment and in some instances supplies to the shipping department.
- Receives and checks customer complaints.
- Confers with production, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.
- Compiles statistics and prepares various reports for management.
- Answers questions from customers or individuals on how a product operates or directs them to the person that is able to assist them.
- Makes sure that quotes are processed through the quoting process in a timely manner.
- Types quotes and maintains files for all quotes that are processed.
- Maintains customer name and address data base.
- Responsible for sending new pricing, with the correct multiplier, to all customers.
- Create no charge shippers for customer replacements.
- Adhere to all company policies in areas of Compliance, QHSES, Code of Business Conduct, Employee Handbook, etc.
- Comply with all safe work practices and procedures set in place by deugro.
- Enforce deugro’s QHSES Policy and Procedures.
- Work with due care and consideration to safeguard own health and safety and the health and safety of others.
- Report incidents/accidents/near misses.

Skills, knowledge and expertise:

- Minimum 1-4 years of Freight Forwarding experience preferred
- Understanding of TACT and IATA rules and regulations
- Excellent communication – Verbal & Written.
- Computer skills – MS Windows 7, MS Office.
- Positive attitude, Multitasking Skills – Able to handle various assignments
- Focus – Pay attention to the customer’s needs and commit to exceeding them.
- Problem solving ability, attention to detail, ability to learn and adjust
- Ability to work independently with little supervision
- Creative thinking and open to new ideas
- Must be familiar with current software packages such as Microsoft Word and Excel, all products lines and customer base
- Must be familiar with the data works system and be able to input and retrieve data
- High School diploma or general education degree (GED); or one year related experience and/or training: or equivalent combination of education and experience.
