HR Assistant - Bookkeeper (Multi-Company )

Location: Lutz, FL On-site only no remote
Reports to: Controller
Employment Type: Full-Time

About the Role

We are seeking a highly organized and detail-oriented Payroll & Bookkeeper to prepare payroll operations across multiple related companies. This position plays a vital role in coordinating with Project Managers, Operations Managers, and field teams to ensure all payroll data is accurate, complete, and processed on time through PEO.

The ideal candidate has hands-on experience with construction payroll, including multi-company processing, per-diems, expense reports, overtime, PTO tracking. This is a fast-paced role that requires accuracy, confidentiality, and excellent communication skills.

Key Responsibilities:

Process weekly payroll through our PEO for multiple construction entities.

Gather, verify, and input payroll data from Project Managers and Operations Managers, including:

  • PTO,
  • Sick,
  • Holiday time
  • Per diems,
  • Mileage and expense reimbursements
  • Overtime,
  • New hires,
  • Terminations
  • Other pay adjustments

Process billing and prepare credit card reconciliation.

Manage employee data and record payroll journal entries into QBO

Respond promptly to employee payroll questions and resolve discrepancies.

Assist with accounting reports, payroll reconciliations, and audits.

Qualifications:

  • 5 years of payroll experience, preferably in the construction industry.
  • Experience with CoAdvantage PEO or similar PEO platforms (ADP, Insperity, Paychex PEO, etc.).
  • Knowledge of multi-company and multi-state payroll processing.
  • Proficiency with Excel and payroll/accounting software (QuickBooks).
  • Strong attention to detail, organization, and problem-solving skills.
  • Excellent communication and coordination abilities across departments.
  • Commitment to confidentiality and accuracy in all payroll matters.

Additional Requirements:

  • An accuracy and payroll skills test will be administered as part of the hiring process.
  • Professional references are required.
  • A background check will be conducted prior to employment.
