R.R. Cassidy, Inc., is searching for an Project Support Specialist. The Project Support Specialist provides day-to-day administrative and coordination support to the business operations team across active the Electrical Division. This role handles correspondence organization, scheduling coordination, document management, and light project software updates. The position does not independently manage project scope, budget, or client relationships, but serves as a critical support function that keeps project information organized, current, and accessible. Schedule is Monday - Friday 7am - 5pm.

  • Monitor and organize project-related emails in Outlook; sort, flag, and route correspondence to the appropriate discipline leads. 
  • Maintain and update Outlook contact lists for project teams, subcontractors, clients, and vendors. 
  • Assisting discipline leads in gathering and formatting information for meetings, bids, and project reviews. 
  • Assist with manpower scheduling and workforce planning logistics, coordinating between field supervisors and the project management team. 
  • Help schedule and coordinate meetings, site visits, and project milestones; send calendar invites and track confirmations.
  • Support meeting preparation by assembling agendas, reference documents, and attendee lists. Will not run meetings independently. 
  • Perform minor updates in Procore, including daily log entries, directory updates, document uploads, and RFI/submittal tracking. 
  • Use Microsoft Excel at an intermediate level (sorting, filtering, basic formulas, data entry, simple formatting) to update trackers, logs, and schedules. 
  • Assist with updating project information in other platforms as directed by the Ops Manager. 
  • Assist with organizing contract documents, subcontract agreements, insurance certificates, and lien waivers. 
  • Help compile supporting documentation for estimates, proposals, and change order packages. 
  • Route contract-related correspondence and track status of outstanding items. 
  • High school diploma or equivalent (associate degree preferred)
  • 1–3 years of administrative experience (construction industry preferred)
  • Intermediate proficiency in Microsoft Excel
  • Proficiency in Microsoft Outlook for email management, calendar coordination, and contact management. 
  • Familiarity with SharePoint or similar document management systems. 
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
