Position: IT Asset & Procurement Administrator

MUST HOLD AN ACTIVE SECRET SECRURITY CLEARANCE.

Job Summary:

(Long-Term Opportunity | Supporting a 14-Year Customer Partnership)

IMRI is seeking an IT Asset & Procurement Administrator to support a trusted customer relationship that IMRI has proudly maintained for 14 years—offering a long-term employment opportunity for a detail-oriented professional who thrives at the intersection of IT operations, procurement, and compliance.

In this role, you will provide integrated support across IT asset lifecycle management and essential IT procurement activities, including contracts, small purchases, government purchase cards, and shipping. You will serve as a key liaison among technical teams, project stakeholders, vendors, and contracting offices to ensure IT systems and services are acquired and sustained in a compliant, cost-effective, and well-documented manner in alignment with NRL and federal requirements.

This highly collaborative position is ideal for someone who enjoys keeping complex procurement actions moving from initiation through completion—tracking purchase actions, ensuring funding documentation is accurate, supporting receiving activities, and maintaining audit-ready records. You will also help manage hardware and software maintenance renewals, proactively communicating cost or service changes to stakeholders to prevent gaps in coverage.

Location: Onsite at NRL, Monterey, CA

Key Responsibilities:

Government Acquisition & Procurement Support

  • Support government acquisition of IT supplies, equipment, infrastructure, and maintenance services.
  • Prepare, process, and track purchase orders for IT equipment and maintenance, support associated purchase orders as needed.
  • Review procurement packages to ensure completeness, compliance, and availability of funding prior to submission.
  • Monitor procurement actions through completion and provide status reporting. This may include, in coordination with the government POC, responding to ad hoc requests related to invoice status, cost, billing discrepancies, and funding availability.
  • Identify acquisition strategy gaps or risks and propose alternative approaches or corrective actions. Examples include shifting procurements from government credit card to a small purchase.
  • Prepare, distribute, and transmit purchase documentation to the NRL MMD cardholder.
  • Support receiving activities and ensure delivered items are properly documented.

IT Asset Lifecycle & Maintenance Management

  • Track and manage hardware and software maintenance renewals to prevent lapses in coverage.
  • Notify system administrators and stakeholders of changes in maintenance or service costs.
  • Maintain complete lifecycle documentation for all IT hardware and software assets.
  • Develop, maintain, and validate documentation of hardware and software contract requirements.
  • Coordinate with vendors to identify best-value pricing for equipment and service purchases.
  • Ensure all Commercial Off-The-Shelf (COTS) software licenses are reviewed by NRL Legal prior to acquisition.
  • Support internal and external audits by responding to ad hoc inquiries related to IT assets, licensing, and maintenance.

 

Required Knowledge, Skills, and Abilities:

  • Strong analytical skills with proficiency in spreadsheet-based tracking and financial analysis.
  • Ability to interpret contract terms, licensing requirements, and funding documents.
  • High attention to detail with strong documentation and records-management discipline.
  • Ability to communicate effectively with technical staff, project stakeholders (scientists and their budget representatives), contracting personnel, legal reviewers, and vendors.

Preferred Qualifications:

  • Experience supporting NRL, DoD, or other federal research or defense organizations.
  • Experience supporting IT business operations including asset lifecycle management and procurement
  • Familiarity with COTS software licensing and legal review processes.
  • Experience supporting audits, inspections, or compliance reviews in a government environment.
