Job Description

Position Summary

The Program Assistant supports the instructional and operational needs of a designated academic program at Williamsburg Learning. Reporting to the Program Leader, this role supports mentors by grading assignments, assisting during live classes, maintaining and updating courses, substituting when mentors are absent, and addressing program needs as they arise. Program Assistants play a key role in strengthening overall program quality and supporting mentors so they can focus on high-impact teaching.


Essential Duties (Top 5 Roles)

Program Assistants are expected to be prepared to fulfill all responsibilities outlined below. However, the Program Leader determines how support hours are allocated based on the program's evolving needs, and the mix of duties may vary week to week.

1) Collaboration & Professional Practice

  • Attend the program’s weekly L10 meeting to stay aligned on priorities and mentor needs.
  • Capture clear notes during L10 meetings, track assigned action items, and create Asana tasks to support follow-through.
  • Meet regularly with the Program Leader to review workload, clarify expectations, and plan upcoming support.
  • Track assigned hours and communicate how time is being allocated.
  • Communicate clearly, respectfully, and professionally with students and colleagues across email, phone, and virtual meetings.
  • Contribute positively to the Williamsburg Learning community by modeling the organization’s core values of Culture of Belonging, Right Action, and Growth.

2) Instructional Support

  • Attend live classes to support student engagement, breakout rooms, and collaborative activities.
  • Assist during presentations, simulations, and project-based learning experiences.
  • Hold office hours to provide additional academic help and encouragement.
  • Build positive, professional relationships with students.
  • Substitute for mentors using prepared materials to ensure continuity of instruction.

3) Grading & Feedback Support

  • Grade assignments using established rubrics and guidelines.
  • Complete grading for self-paced courses that have a live, synchronous equivalent.
  • Provide clear, supportive written feedback to students.
  • Alert mentors to patterns of concern or student struggles.
  • Support grading coverage during mentor absences.

4) Course & Program Operations

  • Maintain and update Canvas course pages.
  • Prepare courses for upcoming semesters.
  • Update rubrics, pacing guides, and calendars as directed.
  • Proofread and refine course materials.
  • Recommend improvements to course and program materials.

5) Student Support & Accommodations

  • Organize and maintain accommodation information for mentors.
  • Implement approved accommodations within Canvas.
  • Monitor and communicate when additional support may be needed.
  • Assist in preparing modified materials or guided notes.
  • Help ensure systems are in place for consistent student support.

Minimum Qualifications

  • Bachelor’s degree required.
  • Demonstrated experience or academic background in the subject area of the assigned program.
  • Strong written and verbal communication skills.
  • Ability to manage delegated priorities and adjust workload based on program needs.
  • Experience using learning management systems (Canvas preferred).
  • Strong organizational skills and attention to detail.
  • Ability to work independently while collaborating closely with instructional staff.
  • Interest in developing as an educator; experience working with students preferred.


Physical and Mental Requirements

  • Ability to attend meetings or classes during the standard school day.
  • Ability to manage multiple digital systems simultaneously (video conferencing, chat, attendance, instructional materials).
  • Work is performed remotely and requires a quiet, professional workspace, reliable high-speed internet, and devices suitable for live instruction.

Salary Range

  • $17.50 per hour
