Job Description

The Office Assistant at Alternative Counseling and Wellness Center is a fundamental role aimed at providing efficient and supportive office administration that underpins daily operations for both clients and staff. The ideal candidate would display excellent customer service skills, organizational abilities, and a keen eye for detail. In addition to basic clerical tasks, the Office Assistant is also expected to contribute to creating a warm, friendly, and professional environment.

Responsibilities

    • Provide administrative support to ensure daily operations run smoothly.
    • Manage customer inquiries via telephone, email or in person, providing information about our services, booking appointments, and directing questions to appropriate staff when needed.
    • Perform general office duties such as filing, photocopying, collating, and mailing, as well as managing office supplies and ordering more as needed.
    • Prepare office for the day by ensuring common areas are tidy and presentable, cleaning and restocking as required.
    • Handle clients’ sensitive information with discretion and in compliance with privacy regulations.
    • Assist in maintaining appointment calendar for all practitioners, managing bookings, cancellations, and any schedule changes.

Qualifications

    • High School Diploma or equivalent qualification.
    • Minimum of 1 year of administrative or related experience preferred.
    • Proficient with office software and technology including Microsoft Office Suite and knowledge of virtual meeting platforms.
    • Excellent communication skills, both verbally and written, with empathy and an open-minded attitude.
    • Strong organizational skills with a problem-solving attitude. Ability to multitask, prioritize, and manage tasks within timelines.
    • Understanding of the health and wellness industry, with a passion for promoting mental health and wellness.
