As a Documentation Specialist, you will be the bridge between operational knowledge and standardized documentation that supports consistent service delivery and scalable success.


About the Role

The Documentation Specialist plays a critical role in capturing and organizing business processes across all departments. This position partners with Subject Matter Experts to gather and validate procedural content, ensuring accurate documentation that serves as the foundation for training, reference, and compliance.


What You’ll Do

  • Conduct live or virtual side-by-side job shadowing sessions with team members to document processes across the organization.

  • Analyze workflows to develop clear, structured content suitable for formal documentation.

  • Collaborate with the Technical Writer to convert raw content into finalized procedure documents.

  • Coordinate post-drafting validation with department heads to ensure all content is accurate and implementation-ready.

  • Support the creation of a comprehensive documentation repository that serves the needs of all departments.

  • Ensure all documented procedures align with operational standards and compliance requirements.



Requirements

What You’ll Bring

  • 2–5 years of relevant experience in documentation, process mapping, or training support.

  • Bachelor’s degree preferred; Associate degree with strong relevant experience accepted.

  • Exceptional critical thinking and organizational skills.

  • Strong interpersonal and communication abilities; able to build trust with stakeholders at all levels.

  • Highly self-directed with the ability to drive projects independently and meet deadlines.

  • Proficiency in turning complex tasks into manageable documentation segments.

  • Detail-oriented with strong accuracy in capturing and reviewing procedural data.


Work Environment & Schedule

  • Full-time, 40 hours per week (Monday–Friday, 8:00 AM – 5:00 PM).

  • General office environment with minimal safety hazards.

  • Occasional virtual or on-site job shadowing may require travel between departments or locations.
