Position Summary
This position is responsible for processing multi-state payroll, serving as a subject matter expert for all payroll-related matters, and handling payroll inquiries from employees.
Essential Job Functions
- Processes beginning-to-end payroll cycles for multi-state employees to ensure timely completion, including preparation of funding reports for Accounting, timely remittance of 401(k) contributions, and payroll taxes
- Audits weekly in-house payroll
- Reviews, reconciles, and provides weekly, monthly, and annual tax and compliance filings to the Payroll Manager for review; investigates and proposes solutions for reconciling issues as needed
- Interacts directly with employees to answer questions and investigate payroll-related issues
- Processes all garnishment documentation and deduction entries
- Prepares weekly funding reports for Accounting related to payroll taxes, garnishments, and 401(k)
- Verifies entries and changes to ensure accuracy of employee records for federal, state, and local payroll taxes
- Enters and updates all direct deposit entries and changes
- Oversees the timekeeping process, including approving time and downloading hours into the payroll system
- Maintains vacation exceptions
- Assists with monthly, quarterly, and year-end tax reporting, including W-2s
- Assists with documenting payroll processes and procedures as necessary
- Performs system testing as required for system updates
- Provides back-up assistance to other Payroll Administrators as needed
- Assists with training new employees on payroll and related processes
- Performs other duties as assigned
Minimum Qualifications
- High school diploma or equivalent
- Three (3) years of multi-state payroll experience, including payroll law, wage garnishment compliance, and IRS payroll-related compliance
Preferred Qualifications
- SAP Payroll experience
- NOVAtime experience
- FCP or CPP certification
Knowledge, Skills & Abilities (KSA’s)
- Proficient in Microsoft Office, including Outlook, Word, and Excel
- Excellent verbal and written communication skills
Physical Requirements
Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Frequent use of eye, hand, and finger coordination to operate office equipment. Oral and auditory capacity enabling interpersonal communication, including communication via telephone and automated devices.
