Job Description

What will you be doing! 

  • Organizing, prioritizing, assembling, editing and formatting technical reports and other documents, to make them consistent, accurate and valuable; expediting these, when required, to customers before the established deadlines. 
  • Providing assistance to the staff within the assigned department with composing, formatting and issuing of correspondence. 
  • Providing administrative assistance to management, e.g., coordinating conference room bookings, taking notes at meetings, making catering arrangements, and maintaining housekeeping to ensure a smooth workflow and safe working environment. 
  • Maintaining hard and electronic copy filing systems and ensuring efficient document storage and retrieval. 
  • Making travel arrangements for Department employees, including flights, hotel and rental car reservations, coordinating destination information to ensure smooth travel. 
  • Ensuring adequate supplies of office materials by ordering stocks and purchasing other standard items as requested. 
  • Preparing i-requisitions for quotes and/or purchase orders. 
  • Maintaining action logs and performing tracking duties as required to ensure the timely completion of actions. 
  • Participating in internal and inter-Departmental initiatives to improve work processes, policies and procedures.
  • Supporting the department in the hiring process.
  • Other duties as assigned by your manager.   
     

What we are looking for: 

  • Education 
    • Successful completion of secondary school (Grade 12) with 2 to 4 years of related experience or a college diploma in a related discipline (e.g. Office Administration) and one year of experience.
  • Experience
    • Experience with formatting technical documents would be a benefit. 
  • Knowledge, Skills & Abilities 
    • Knowledge of administrative theories, concepts and principles used to provide administrative support to the assigned department manager and knowledge of computers and software such as Office 2013 and Adobe/Foxit Phantom to develop customized charts, reports, presentations and technical documents.
    • Demonstrated oral and written communication skills to communicate effectively with staff, management and contractors.
    • Demonstrated understanding of CNL’s organizational structure, activities, policies, procedures, processes and systems pertinent to the duties associated with the position, including familiarity with CNL’s emergency signals and procedures for CRL.
    • The ability to work independently in order to meet established deadlines.
    • Knowledge of administrative best practices and current standards.
    • Demonstrated understanding of basic financial/accounting practices in order to provide administrative assistance pertaining to budget issues.
    • Ability to use general office equipment such as printers, fax machines, photocopiers and scanners. 
  • Security Clearance Eligibility Required
    • Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.” 


       

Working Conditions: 

  • Working schedule: Five (5) days per week, seven and a half (7.5) hours per day for a thirty-seven and a half (37.5) hour work week. 
  • This position is part of the USW4096 Union and is governed by the terms and conditions outlined in the USW4096 Collective Agreement. As a member of this bargaining unit, you’ll benefit from clear expectations around hours of work, wages, vacation, and other conditions that support a fair and consistent working environment.
