The Sales Operations Specialist is responsible for supporting the sales team through data management, reporting, and analysis of customer and project activity. This role ensures sales data is accurate, organized, and actionable to support decision-making across sales, operations, and leadership.
The position requires strong analytical skills, attention to detail, and the ability to collaborate cross-functionally to improve sales performance, customer experience, and overall business efficiency.
Essential Functions of the Position
SALES DATA MANAGEMENT & REPORTING
· Maintain and ensure accuracy of customer, project, and pipeline data within CRM systems (e.g., Salesforce).
· Generate and distribute regular sales reports, dashboards, and performance metrics.
· Track and monitor sales activity, including quotes, bids, and project lifecycle status.
· Analyze sales trends, customer activity, and historical data to identify opportunities and risks.
· Support leadership with data-driven insights to improve sales strategy and execution.
SALES SUPPORT & ANALYSIS
- Support outside sales and management by gathering data, researching customers/projects, and preparing reports.
- Assist in tracking public works projects and identifying potential sales opportunities.
- Analyze quote activity, win/loss trends, and customer purchasing patterns.
- Provide data support for pricing, forecasting, and sales planning initiatives.
PROJECT & CONTRACT SUPPORT
- Assist with AB219 project tracking, contract setup, and documentation.
- Maintain organized and accurate project records and supporting documentation.
- Coordinate with internal teams to ensure proper setup and tracking of sales-related projects.
BILLING & DATA ACCURACY
- Review and validate sales-related data to ensure accurate billing and invoicing.
- Partner with Credit and Billing teams to resolve discrepancies and ensure data integrity.
- Support timely completion of reporting tied to billing cycles and customer accounts.
CROSS-FUNCTIONAL COLLABORATION
- Work closely with operations, dispatch, credit, billing, and sales teams to ensure alignment and data accuracy.
- Support communication between departments to resolve issues impacting sales and customer experience.
- Participate in meetings and contribute insights to improve processes and performance.
Skills and Knowledge
- Strong analytical and problem-solving skills.
- Advanced proficiency in Microsoft Excel (pivot tables, data analysis, reporting).
- Experience with CRM systems (Salesforce preferred).
- High attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to interpret data and communicate insights clearly.
- Ability to work independently and collaboratively in a fast-paced environment.
Requirements
- High school diploma or equivalent (Bachelor’s degree preferred).
- Previous experience in sales support, data analysis, or similar role (construction industry preferred).
- Strong written and verbal communication skills.
- Ability to work in-person, in an office setting.
- Ability to manage multiple priorities and meet deadlines.
