General Summary:


The Administrative Assistant to Elementary Principal works under the direction of the Lead Elementary Administrative Assistant and the supervision of the elementary school principal and performs a variety of clerical and secretarial duties, which often require independent judgment.


 


Duties and Responsibilities:



  1. Serves as school receptionist, greeting and assisting visitors, staff and students, answers telephones, makes appointments, sorts mail and performs duties involving effective communication within the building and community.

  2. Assists with pupil accounting, including daily attendance and record retention, and monitors and follows up on absences not verified each day. Monitors and records tardies and end of day early withdrawals.

  3. Coordinates daily substitute teachers and completes necessary paperwork.

  4. Administers and records first aid to injured and ill students.

  5. Dispenses medication and maintains accurate records according to prescribed schedule.

  6. Files records and reports, posts information to records including CA-60's, sorts and distrib­utes mail and performs other related clerical duties.

  7. Operates standard office equipment such as copying machine, calcu­lator, fax machine. Operates computer using word-processing, database, accounting, and special programs.  Schedules service calls.

  8. Schedules daily building facility use, in-services and calendar of school events.

  9. Coordinates and prepares parental transportation changes, bus passes and new student transportation.

  10. Enrolls, enters and removes new students, verifying necessary documentation.

  11. Maintains accurate and current information on student’s immunizations.

  12. Composes and types letters, memos, reports, programs, and newsletters and maintains files.

  13. Completes all necessary paperwork for State counts days.

  14. Prepares purchase orders and requisitions office and school supplies.

  15. Monitors and verifies accounting for building and individual teachers. Queries reports and budget information. Makes deposits for class field trips and fundraisers.  Monitors petty cash.

  16. Responds to needs of staff, students, and school community as requested in principal’s absence.

  17. Participates in Kindergarten Round-up.

  18. Performs other duties as assigned.


Knowledge, Skills and Abilities Required:



  1. College degree and/or previous relevant work experience required.

  2. Advanced knowledge of computers and technology.

  3. Ability to type a minimum of 40 wpm accurately.

  4. Excellent organizational skills with emphasis on details and time management.

  5. Excellent public relations skills.

  6. Ability to deal with injuries.

  7. Knowledge of math and accounting principles.

  8. Analytical ability necessary to gather and interpret data.

  9. Demonstrates proficiency in spelling, grammar, and information technologies.

  10. Dependable, reliable, and protective of sensitive/confidential information.


Knowledge, Skills, and Abilities Preferred:



  1. CPR and first aid preferred.


Physical and Mental Requirements:



  1. Must be able to report on a regular and consistent basis. 

  2. Maintain consistent and punctual attendance.

  3. Duties include frequent walking and physical activity, as well as use of hands and arms for signaling and light lifting/carrying. Must have the ability to move about the classroom/building and school property, including bending, pushing/pulling, lifting, twisting, climbing, stooping, or crouching to complete work-related tasks with and without students. 

  4. The ability to listen and effectively orally communicate information and ideas to a diverse population.

  5. Ability to effectively discern information and formulate appropriate action(s).

  6. Ability to critically think and provide appropriate solutions. 

  7. Ability to work effectively and efficiently.


Environmental Conditions:


Incumbents work in indoor environments with moderate to loud noise levels. Duties may be completed in cold and hot temperatures, including work on slippery and/or uneven surfaces. Work environment includes working around students, school equipment, and office equipment. 


 


Work Schedules:


Must be available to report during the school year consistent with the district’s school year calendar.
