Job Description

Description

This position supports the mission and work of the Y, a leading nonprofit, charitable organization. The Program Coordinator supports day-to-day coordination and quality delivery of school-age and teen programming, including program planning, staffing coverage, schedules/rosters, participant and family communication, and required documentation. The Coordinator supports a safe, welcoming, inclusive environment aligned with YMCA values and ensures program delivery and records meet Association standards and applicable licensing/funder requirements.

 

ESSENTIAL FUNCTIONS:

 

  •  Models the YMCA core values of caring, honesty, respect, and responsibility in all interactions with participants, families, members, volunteers, and staff.
  • Coordinates day-to-day operations for assigned school-age/teen programs, including schedules, rosters/attendance, space usage, supplies, and program readiness.
  • Supports staffing coverage for assigned programs, including onboarding, training, scheduling, and day-to-day direction/coaching of part-time staff in coordination with the supervisor.
  • Supports development and delivery of engaging youth/teen programming aligned with YMCA goals (e.g., leadership development, enrichment, recreation, life skills, and community connection).
  • Maintains program quality standards, including appropriate supervision/ratios, behavior guidance practices, inclusion supports, and positive adult role modeling.
  • Supports compliance with YMCA policies and applicable state/local requirements for operating school-age/teen programs, including required documentation and cooperation with licensing/compliance processes led by the department; follows YMCA child abuse prevention guidelines, mandatory reporting requirements, and emergency procedures.
  • Communicates promptly and professionally with parents/guardians and participants, including program updates, schedule changes, expectations, and service recovery as needed.
  • Maintains accurate program documentation as required, including attendance, incident/accident documentation, checklists, inventories, and required participant records.
  • Tracks participation metrics and completes basic reporting as assigned, including data collection and reporting required by funders/grants.

Requirements

  • High school diploma or equivalent required; college coursework/degree in education, youth development, recreation, social services, or related field preferred.
  • Minimum two (2) years of experience in youth development programming and/or community outreach; experience coordinating staff coverage and directing day-to-day work strongly preferred.
  • Strong communication and interpersonal skills; ability to build rapport across diverse cultures and ages and maintain appropriate professional boundaries.
  • Strong organization and follow-through; comfortable with basic data entry, tracking, and reporting.
  • Ability to meet program-specific requirements as applicable (e.g., physical/TB documentation timelines, OEC background check/fingerprinting, CPR/First Aid timelines).
  • Medication Administration certification preferred, if applicable to the program model.
  • Ability to work flexible hours including evenings/weekends based on program needs.
  • Successful completion of YMCA background screening and any program-specific prerequisites.
