Position Overview
This role plays a pivotal part in supporting the financial and administrative backbone of our construction projects. The ideal candidate will bring experience in billing (including AIA), labor and materials tracking, contract compliance, light WIP analysis, and change order documentation.
Key Responsibilities
These responsibilities generally describe the nature of the position and may not be all inclusive:
- Prepare and process customer billings, including AIA applications, progress invoicing, cost reports for GMP contracts and applicable back-up, all in coordination with project managers.
- Manage project documentation, including change orders, lien waivers, compliance forms, and closeout packages.
- Support compliance efforts by ensuring subcontractor documentation, insurance, and onboarding materials are complete and current.
- Assist with light collections and follow up on outstanding receivables in collaboration with the finance and project teams.
- Monitor contract terms for adherence and support change management tracking and documentation.
- Contribute to work-in-progress (WIP) reporting with cost and revenue inputs for monthly financial cycles.
- Serve as a cross-functional liaison between accounting, project management, and field operations.
- Utilize third-party platforms such as Textura, Procore, and Ariba to submit billing.
- Perform other duties as assigned.

What You Bring
- 3+ years of experience in project accounting, billing, or construction finance.
- Strong knowledge of AIA billing, job costing, and compliance tracking in a construction setting.
- Familiarity with construction contracts and change order processes.
- Experience with ERP or construction accounting software (e.g., COINS, Vista by Viewpoint, Spectrum, or similar) is a plus.
- Proficiency in Microsoft Excel and other Office tools.
- Highly organized, self-motivated, and able to manage competing priorities in a fast-paced environment.
- Strong interpersonal and communication skills with a solution-oriented mindset.
