The Nursing Scheduler is responsible for developing, maintaining, and coordinating nursing staff schedules to ensure adequate coverage in a long-term care setting. This role supports quality resident care by balancing staffing requirements, regulatory compliance, and employee availability while serving as a key resource for nursing leadership and staff.
Key Responsibilities
- Create and maintain daily, weekly, and monthly schedules for nursing staff (RNs, LPNs, CNAs)
- Ensure staffing levels meet regulatory requirements, facility policies, and resident care needs
- Manage schedule changes related to call-offs, PTO, leaves of absence, and shift trades
- Coordinate staffing coverage, including use of overtime, float staff, or agency personnel as approved
- Communicate scheduling changes clearly and timely to nursing staff and leadership
- Maintain accurate staffing records and reports for payroll, audits, and survey readiness
- Monitor staffing patterns for compliance with state, federal, and CMS requirements
- Collaborate with nursing leadership to address staffing concerns and workforce planning needs
- Maintain confidentiality of employee scheduling and personnel information
- Assist with staffing-related audits, surveys, and quality assurance processes
Required Qualifications
- High school diploma or equivalent
- Previous experience in staffing, scheduling, or healthcare administration
- Experience in a long-term care or skilled nursing setting strongly preferred
- Strong understanding of staffing requirements and shift coverage needs
- Excellent organizational, communication, and time-management skills
- Ability to manage frequent interruptions and last-minute staffing changes
Preferred Qualifications
- Familiarity with electronic scheduling systems and payroll timekeeping software
- Knowledge of state and federal long-term care staffing regulations
- Experience working with union contracts or labor agreements (if applicable)
- Proficiency in Microsoft Excel required
