About the Department

The City of Aiken is accepting applications for an Inventory Coordinator to join our Engineering & Utilities Department. 

Under general supervision, this position is responsible for coordinating warehouse and inventory control operations, maintaining accurate inventory records, and supporting the procurement, receipt, storage, issuance, and tracking of materials, equipment, and supplies used by various City departments. The position is also responsible for developing, implementing, and maintaining standard operating procedures (SOPs) for inventory control and warehouse operations to improve accountability, consistency, and efficiency.

Position Duties

  • Coordinates daily warehouse and inventory operations, including receiving, storing, issuing, and tracking materials, equipment, tools, and supplies.
  • Maintains accurate inventory records in the City’s inventory and accounting systems, including item quantities, locations, usage, receipts, and adjustments.
  • Performs routine inventory control functions, including cycle counts, physical inventories, reconciliation of discrepancies, and documentation of inventory variances.
  • Establishes, maintains, and monitors inventory control practices to ensure proper accountability for all materials and supplies.
  • Develops, documents, updates, and implements standard operating procedures (SOPs) for inventory control, stock handling, receiving, issuing, returns, adjustments, and warehouse organization.
  • Works with supervisors and department staff to standardize inventory practices and improve consistency in material requests, stocking, and usage tracking.
  • Monitors inventory levels and usage trends and recommends minimum/maximum stock levels, reorder points, and replenishment quantities.
  • Processes stock requisitions in AS400 or other designated systems and fulfills departmental requests accurately and timely.
  • Receives, unloads, inspects, and verifies incoming shipments for accuracy, quantity, and condition; reports shortages, damages, and discrepancies.
  • Coordinates ordering of stock items, researches vendors, expedites orders and backorders, and assists with pricing and purchasing comparisons.
  • Maintains organized warehouse storage locations and labeling systems to support efficient retrieval, stocking, and inventory counts.
  • Prepares monthly inventory activity reports and other reports related to stock usage, inventory value, discrepancies, and operational needs.
  • Assists management with emergency material sourcing and ensures critical inventory items are available when needed.
  • Maintains warehouse safety and cleanliness and helps ensure compliance with applicable storage, handling, and SDS requirements.
  • Supports internal reviews, audits, and process improvements related to inventory accountability and warehouse operations.
  • Maintains professional relationships with vendors, sales representatives, and City personnel.
Other Responsibilities:
  • Assists in evaluating and improving warehouse layout, stock organization, and inventory workflows.
  • Coordinates with supervisors, Assistant Manager/Manager, and departments regarding inventory needs, stock availability, and purchasing priorities.
  • Helps train staff on inventory procedures and warehouse controls as needed.
  • Maintains certifications as required, including CPR, First Aid, Forklift, Hazardous Materials, and SDS-related training.

Minimum Qualifications

  • Valid driver's license
  • High School diploma or equivalent
  • Two to four years of experience in inventory control, warehouse operations, materials management, purchasing support, or a closely related field; or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities.
  • Experience maintaining inventory records, performing counts, reconciling discrepancies, and using computerized inventory or accounting systems.
  • Ability to develop, document, and follow written procedures and maintain accurate records.
  • Strong organizational skills and attention to detail.
  • Ability to communicate effectively with employees, vendors, and departments regarding inventory and warehouse needs.
Preferred Qualifications
  • Experience with AS400 or similar inventory/accounting software.
  • Experience developing or improving SOPs, workflow documents, or inventory procedures.
  • Experience in municipal utilities, public works, warehouse, or facilities support operations.
  • Forklift certification or ability to obtain certification.
