Job Description
We’re looking for a detail‑driven Fleet Scheduling Coordinator to support our national fleet operations on a full‑time basis. In this role, you’ll coordinate vehicle movements across Australia, organise relocation drivers, and ensure our RVs are in the right place at the right time to support bookings and branch operations.

What You’ll Do

Scheduling

  • Coordinate vehicle movements across Australia
  • Position vehicles strategically using data insights
  • Identify and load relocations into Motek
  • Promote relocations to reservations and sales teams
  • Make upgrade and downgrade decisions within budget
  • Arrange transport, drivers, ferries, accommodation and flights

Asset & Maintenance Support

  • Track delivery updates to keep schedules accurate
  • Update lifecycle changes and vehicle availability
  • Follow up workflows and escalate where required
  • Manage relocations, geofencing, stocktakes and daily scheduling tasks

Administration

  • Process invoices in D365
  • Reconcile fuel cards weekly
  • Action driver payments weekly
  • Maintain special request logs
  • Complete daily, weekly and monthly reporting and tasks

Customer & Branch Support

  • Assist branches with vehicle and scheduling queries
  • Ensure accurate and up‑to‑date data in Motek
  • Support walk‑up bookings where possible
  • Communicate booking impacts with reservations
  • Manage no‑shows and escalate incidents appropriately

What You’ll Bring

Must Have

  • Open driver’s licence
  • Strong communication skills
  • Confidence using Excel, Word and Outlook
  • Flexibility to work some weekends and public holidays
  • Strong problem‑solving skills and attention to detail

Great to Have

  • Logistics or business qualifications
  • Fleet, rental or tourism industry experience
  • Knowledge of Motek and/or D365
