Your opportunity:
Under the supervision of the Associate Registrar, Registration and the general direction of the Director, Student Experience, the incumbent provides database, systems and ROSI services and support in relation to the Graduate Programs in Education at OISE.
The incumbent is responsible for creating and maintaining records for full and part-time continuing students, new students, graduates and countless active students, with respect to OISE’s M.Ed., M.T., M.A., Ph.D. and Ed.D. programs, Special Students and Visiting Students in OISE’s four Departments, Combined Degree Programs and OISE Fields, establishing efficient procedures for this purpose in order that all reporting is based on accurate data for Ministry funding and student records. Produces reportsfrom ROSI, OISEcp, Tableau, Slate and various databases, at times making minor modifications to the selection criteria and providing these on an ad hoc basis for internal constituents. Maintains course information on ROSI for purposes of student enrollments, class lists, and grades in order to facilitate SGS transcripts. Responsible for accurately processing approved requests on ROSI including work-flow items normally handled by SGS for other U of T faculties/departments (e.g., Transfer Credit/Exemptions, Degree and/or Program Transfers). Deals with queries from OISE and non-OISE students, SGS, OISE and non-OISE Departmental staff, Decanal staff, both over the telephone, by email and in person at the ROSE. Interacts with U of T Office of Student Accounts and students regarding fee issues, refunds and Tuition and Education Amounts certificates. Assists in identifying opportunities to improve use of technology in registration and records. The incumbent is required to possess and maintain an expert knowledge of all SGS policies and procedures related to graduate registration.
When required, the incumbent will be expected to act in place of the Associate Registrar, Registration including supervising the Registration team and representing the Registration Team and ROSE in registration and ROSI-related meetings with departments, Education Commons (EC) and Information Technology and Services (ITS) Units (EASI, ISEA, etc.) both at OISE and the broader U of T community.
Your responsibilities will include:
- Analyzing complex data that requires great precision and attention to many details
- Making recommendations on suitability of major system refinements and upgrades
- Producing complex statistical information
- Verifying and reconciling data errors
- Identifying and analyzing data discrepancies and taking necessary actions to correct errors
- Designing and optimizing databases
- Training end-users on procedures andthe use of supported IT systems
- Probing for information to determine requirements for ad hoc data requests
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum five years experience in a high-pressure Registrar's office in a post-secondary institution
- Demonstrated experience providing comprehensive registrarial services to students, supervising and training staff and student workers, and managing and coordinating the activities of registrarial operations
- Previous business experience in information and data management. Strong working knowledge of ROSI and relational databases [such as Slate] essential.
- Proficiency on the computer, including a variety of computer programs and especially the MS Office Suite.
- Strong oral and written communication and interpersonal skills.
