Job Title: Fleet Assistant (2 positions) #449

Reports to: Office Manager

Level: Entry/Union/Full-Time

Salary: $58,968 (This may vary for internal candidates only)

Grade/Step: 14

Location: 2650 S California/Leighton Courthouse

Bureau: Administrative Services

Primary Function: Provide Fleet support to all Office Personnel of the State�s Attorney�s Office.

Working Environment: Hours: Monday � Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Medium Work: The position requires the ability to stand, or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 50 pounds regularly, and occasionally heavier items. The job may also involve driving periodically.

Duties and Responsibilities:

  • Responsible for assigning vehicles to CCSAO all personnel.
  • Transporting CCSAO personnel in limited circumstances as it relates to Fleet assignments.
  • Maintenance of all CCSAO vehicles.
  • Send updates to the Vehicle Steering Committee.
  • Send accidents files to Risk Management and Administrative Services Bureau Chief.
  • Approval of vehicle repairs.
  • Assign loaner vehicles to CCSAO personnel.
  • Maintain Fleet Database.
  • Track all outgoing and incoming CCSAO loaner vehicles.
  • Track all vehicles assigned to CCSAO personnel.
  • Responsible for gas card and insurance distribution.
  • Copy, scan, file, email, fax and distribute Fleet correspondence.
  • Cleaning, inspection, and maintenance of CCSAO vehicles.
  • Prepare city sticker applications for the City Clerk.
  • Prepare Title, Registration and Transfer applications for the Secretary of State.
  • Deliver new CCSAO vehicles and ensure accuracy of all documentation.
  • Deliver CCSAO vehicle titles to the Cook County Purchasing Department.
  • Send vehicles to Auction, as needed, and maintain
  • Maintain confidentiality of information and systems.
  • Interact with State�s Attorney�s Office employees and personnel of outside agencies.
  • Travel to Springfield, IL and other locations as required.
  • Perform additional duties and special projects as assigned.

Qualifications:

Required:

  • Must have a valid Driver�s License
  • The candidate must have excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, and Word
  • Must be able to lift and carry 50 lbs.
  • Must be able to jump start vehicles and change tires.

Preferred:

  • Proficiency is SharePoint and Teams
