Job Description

JOB TITLE: Project Coordinator

DEPARTMENT: Finance

REPORTS TO: Chief Financial Officer, VP of Corporate Services

FLSA STATUS: Hourly, Non-Exempt

LOCATION: Paterson


POSITION SUMMARY:

We are seeking a highly organized and detail‑oriented professional to coordinate organization‑wide projects and events while providing high‑level, confidential administrative support to the Chief Financial Officer. This role works closely with executive leadership and cross‑functional teams to ensure projects and initiatives are delivered effectively, on time, and within budget.  


This role focuses on business operations and executive support and does not involve IT systems, software implementation, or technical project management.


Key Responsibilities

  • Coordinate internal and external projects and events from planning through completion.
  • Work with internal teams and external partners to define scope, objectives, timelines, and deliverables.
  • Develop project plans, monitor progress, and manage changes or risks.
  • Prepare project updates and communicate status to leadership.
  • Maintain accurate project documentation and records.
  • Provide executive administrative support, including calendar management, meeting preparation, and correspondence.
  • Assist with audit preparation, grant documentation, reports, and data requests.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Perform additional project and administrative duties as assigned.

 

Qualifications

  • Bachelor’s degree in a related field such as Business or Finance.
  • One (1) to two (2) years of project coordination or project support experience preferred.
  • Strong organizational, time‑management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with executives, staff, and external partners.
  • High level of discretion, professionalism, and attention to detail.
