SUMMARY:
The Business Operations & Servicing Title Coordinator is responsible for ensuring proper lien perfection on all secured consumer and business loans through accurate processing of vehicle titles and related Uniform Commercial Code (UCC). This position supports lending staff, maintains secure and orderly title records, ensures timely lien placement and release, and communicates extensively with members, staff, dealerships, and state agencies. The role includes processing select loan servicing transactions and identifying potential risks related to collateral documentation
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide exceptional service to members, staff, dealerships, and third-party institutions, in alignment with the Credit Union’s service standards.
- Assist lending staff with lien documentation requirements, including the calculation of applicable fees and resolutions of title discrepancies.
- Process all title work for vehicle loans, including: Creating and maintaining pending filles, tracking and following up on pending titles, verifying accuracy of incoming titles (e.g. member names, VINs), coordinating corrections with lending staff, members, dealerships, and state agencies, and applying for lost-in-transit titles and monitoring reissuance.
- Perform UCC filings and track lien documentation for consumer non-titled collateral.
- File, maintain, and release liens with appropriate government agencies (e.g., DMV, Secretary of State).
- Safeguard all paper and electronic titles, maintaining them in an organized and accessible manner.
- Ensure timely release of titles upon loan payoff, verifying payment in full before releasing collateral.
- Work reports related to pending titles, paid-out titles, and subsequent lien tracking to ensure compliance and timely processing.
- Coordinate title transfers for out-of-state loans and manage subsequent lien requests, ensuring tracking of released titles until returned.
- Monitor trends or issues with title and lien work and escalate potential risks related to collateral security.
- Answer internal and external inquiries regarding lien status, title procedures, and documentation needs.
- Process routine loan maintenance tasks such as: Consumer loan Skip-a-Pay and due date changes, consumer loan paid-in-full letters, consumer loan payoff checks, closure of personal lines of credit, and support for SCRA requirements (as backup).
- Maintain a strong understanding of internal policies, procedures, and applicable regulations.
- Handle complex or escalated lien and titling scenarios with sound judgement and service focus
REQUIREMENTS
Education:
- High School diploma or equivalent
Experience:
- Experience in vehicle title processing, lien perfection, or related consumer lending operations preferred.
- Knowledge of vehicle title laws, lien filing requirements, and UCC documentation preferred.
- Familiarity with state DMV and Secretary of State filing procedures preferred.
- Strong attention to detail with excellent organizational and record-keeping skills.
- Ability to work independently and manage multiple priorities under deadlines.
- Proficient in standard office software (e.g., Microsoft Office suite) and willing to learn proprietary loan processing systems.
- Ability to work collaboratively as part of a team and support cross-departmental initiatives
Any applicable system or program knowledge:
- Proficiency in credit union systems including windows and Microsoft Office Software: experience with those core banking applications (Symitar/Epysis, Synapsys, Meridian Link, OpenClose, etc.)
