Early Intervention Program Assistant
Position Summary
The Early Intervention (EI) Program Assistant supports the daily operations, compliance, and continuous quality improvement of the Early Intervention program. This role works closely with program leadership, clinical staff, and administrative teams to ensure timely access to services, accurate data tracking, and smooth program operations. The Program Assistant plays a critical behind-the-scenes role in supporting family-centered, high-quality services for infants and toddlers and their families.
This position is ideal for a highly organized, detail-oriented, and mission-driven professional who enjoys working with data, systems, and people to help programs run effectively and meet required timelines.
Key Responsibilities
Data, Reporting & Program Monitoring
- Track and monitor key Early Intervention program data, including referrals, evaluations, service delivery, program entry and exit, and required timelines
- Pull, maintain, and analyze reports (e.g., Excel or internal systems) related to referrals, services, access, and Key Performance Indicators (KPIs)
- Monitor compliance-related timelines (e.g., referral to evaluation, IFSP development, service start dates) and proactively flag potential delays or risks to leadership
- Support data quality and completeness through routine file reviews, audits, and follow-up with staff
- Assist with preparation of data summaries for internal review, leadership meetings, state reporting, and monitoring activities
Administrative & Operational Support
- Provide scheduling and coordination support for evaluations, visits, meetings, and program activities
- Prepare materials for meetings, including agendas, reports, and data summaries
- Complete accurate and timely data entry across multiple EI and agency systems
- Process internal requests, track follow-up action items, and maintain organized records
- Ensure documentation and processes align with EI regulations, agency policies, and confidentiality standards
Program Coordination & Communication
- Collaborate with clinical, administrative, and leadership staff to support smooth daily program operations
- Identify trends, gaps, or bottlenecks in service delivery and communicate findings to program leadership
- Support family outreach, engagement, and re-engagement efforts, particularly when services are delayed or interrupted
- Communicate professionally and compassionately with families as appropriate, redirecting clinical or service coordination questions to the correct team members
- Support coordination across disciplines to promote timely, family-centered services
Quality Improvement Support
- Assist with continuous quality improvement initiatives by helping collect, organize, and summarize program data
- Contribute to process improvement efforts that enhance access to services, efficiency, and staff workflows
- Support leadership in testing, documenting, and refining program processes and procedures
Qualifications
- Bachelor�s degree in human services, public health, business, or a related field preferred
- Experience with administrative support, data tracking, reporting, or program coordination
- Proficiency in Microsoft Excel (sorting, filtering, basic formulas required; advanced skills a plus)
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
- Experience in Early Intervention, early childhood services, healthcare, or human services preferred
- Bilingual Spanish a plus
