Job Description

About the Department

Election Assistants support the City Clerk in the planning, administration, and execution of various duties in connection with the local, county, state, and national elections.

This recruitment will be used to establish an eligibility list for the 2026 election cycle to fill multiple temporary Elections Assistant positions, which may include a combination of full-time and part-time roles (anticipated to include up to two full-time and/or up to four part-time positions). Final position allocation may be adjusted at the discretion of the City based on operational needs and the applicant pool. Work schedules will vary depending on assignment.
 
These positions will be open until filled; priority candidate consideration is based on the following application dates:
  • First Round of Consideration: 05/14/2026
  • Second Round of Consideration: 05/28/2026

Expected Hours of Work
Work schedules will vary depending on assignment. This is a short-term appointment requiring a consistent commitment for the full duration of employment. Due to statutory election deadlines and operational needs, selected candidates must be available to work scheduled shifts as assigned, including extended hours and weekends as Election Day approaches.
 
Schedule Overview: Full-Time vs. Part-Time:
  • Full-Time Temporary Positions:
    • June 15 – August 15: 7:45 a.m. – 4:15 p.m. (M-F)
    • August 17 – September 11: Approximately 20 hours per week; schedule to be arranged within standard business hours of 7:45 a.m. to 5:15 p.m. (M-F)   
    • September 14 – November 6: 7:45 a.m. – 4:15 p.m. (M-F)
  • Part-Time Temporary Positions (Mornings):
    • June 15 – August 12: 7:45 a.m. – 12:45 p.m. (M-F)
    • September 14 – November 4: 7:45 a.m. – 12:45 p.m. (M-F)
  • Part-Time Temporary Positions (Afternoons):
    • June 15 – August 12: 11:45 a.m. – 4:45 p.m. (M-F)
    • September 14 – November 4: 11:45 a.m. – 4:45 p.m. (M-F)

Position Duties

Reasonable accommodations may be made to enable individuals to perform these essential functions:

  1. Assist voters in obtaining an absentee ballot by entering and/or proofing data in computer system.
  2. Attend election training as required to help in the administration of election services for the City.
  3. Answer general inquiries from the public regarding voting locations, voter registration, absentee voting, and basic election procedures.
  4. Assist voters with in-person absentee voting and early voting.
  5. Serve as a member of the Absentee Ballot Board.
  6. Assist with election equipment testing to ensure accuracy of equipment.
  7. Assist with ordering and packing precinct election supplies.
  8. Assist with election judge recruitment, assignments, training, and processing timesheets.
  9. Type and/or update correspondence, reports, forms and training materials.
  10. Provide on-site assistance to Golden Valley polling locations on Election Day.
  11. Perform other general clerical duties including data entry, copying, scanning, filing, and assembling documents.
  12. Operate general office equipment such as telephone, personal computer, copier, printer, scanning equipment, and/or calculator

Minimum Qualifications

Minimum Qualifications

  • High School graduation or equivalent.
  • Two years clerical work experience in an office environment with significant customer contact.
  • Proficient in use of Microsoft Office software (Word and Excel). Ability to professionally and courteously handle requests for information and concerns from the public and staff.
  • Ability to work in deadline-driven environment, work on multiple tasks, and shift priorities frequently.
  • Ability to do highly detailed and accurate work.
  • Ability to maintain a positive, friendly and helpful attitude toward work, the public, and coworkers even in daily stressful periods.
  • Skill in oral and written communications, interpersonal skills as applied to interaction with coworkers, supervisor, the general public and others, sufficient to exchange or convey information and receive work direction.

Desired Qualifications
  • Knowledge of MODUS election software.
  • Experience with elections and the Statewide Voter Registration System (SVRS).
  • Previous elections experience in an administrative capacity.

  • Regularly read and interpret documents and other written material.

  • Frequently remain in a stationary position and regularly move within the building to attend meetings and access files and office machinery.
  • Occasionally traverse around the City on Election Day to provide on-site assistance to polling locations. 
  • Regularly operate computers and other office equipment, such as a copy machine, printer, and telephone, as well as equipment/tools consistently found in municipal law. 
  • Occasionally move or transport items weighing up to 35 pounds.
