Overview
Castle Island Brewing Co. is looking for a highly organized, proactive Part-Time Events & Pop-Up Coordinator to support our off-site tastings, festivals, and pop-up beer gardens. This role sits at the intersection of operations, sales, and marketing—owning the behind-the-scenes execution that brings our brand to life in the field.
This is a detail-heavy, logistics-driven role that requires strong communication, ownership, and the ability to juggle multiple moving pieces at once.
This position reports to the Head of Sales & Marketing. This position is based at our Norwood, MA headquarters and requires 10-20 hours per week, with semi-frequent responsibilities on nights and weekends.
What You’ll Do
Events & Tastings
- Hire, train, and schedule staff for off-site tastings (accounts, festivals, large events)
- Maintain employee certifications (TIPS compliance)
- Serve as on-call support during events to troubleshoot issues
- Coordinate with the Sales Team to schedule tastings
- Submit festival applications and registration forms
- Manage Certificates of Insurance (COIs)
- Maintain a centralized tasting calendar and event log
Event Preparation & Logistics
- Communicate event details to staff (product, supplies, expectations)
- Coordinate product and supply pick-up/drop-off
- Stage materials in a designated area for team access
- Ensure all equipment (e.g., jockey boxes) is cleaned and ready
- Maintain cleanliness and inventory of reusable materials (e.g., tablecloths)
Pop-Up Beer Gardens & One-Day Events
Staffing & Support
- Recruit, train, and schedule staff for pop-up events
- Ensure all staff certifications are current
- Act as remote support during events as needed
Site Booking & Compliance
- Source and secure new pop-up locations and opportunities
- Manage inbound event requests
- Serve as primary contact with municipalities and local authorities
- Handle One-Day License applications and permitting
- Pull COIs and attend town/board meetings when required
- Conduct site visits as needed
Event Operations
- Coordinate supply ordering (cups, wristbands, NA beverages, etc.)
- Oversee transport of equipment and product to/from sites
- Set up and manage POS systems; train staff as needed
- Handle cash logistics, including drawers and reconciliation
- Execute and oversee event setup and breakdown to ensure brand standards are met
Inventory Management
- Track product going out to and returning from events
- Maintain accurate inventory logs
- Stage and organize supplies for efficient deployment
Sales & Marketing Support
- Coordinate prize packs for events, donations, and internal needs
- Manage merchandise allocation for festivals and large-scale events
- Collaborate with marketing to support event promotion and content creation
- Identify and pitch incremental revenue opportunities (e.g., merch, NA options, cider, wine)
- Coordinate cross-functional needs with internal teams
What We’re Looking For
- Strong organizational and project management skills
- Ability to manage multiple events and timelines simultaneously
- Clear communicator with a proactive mindset
- Comfortable working independently and making decisions
- Experience with events, hospitality, or logistics preferred
- Familiarity with POS systems and inventory tracking is a plus
- Must be available for occasional nights/weekends (event-dependent)
