General Function:
Under direction, performs various clerical, secretarial, and other minor administrative functions required to operate school sites and other instructional programs. Performs other related duties as required.
Education/Training/Experience
(Basic minimum requirements are subject to change from time to time to meet the needs of the District.)
Minimum: Applicants must have a high school diploma or GED.
Preferred: Experience as a school secretary. Bilingual applicants are preferred.
Knowledge/Skills and Abilities:
Demonstrated knowledge of various routine tasks, duties, and procedures, and the ability to follow specific instructions with little or no previous experience. Ability to exercise considerable and sound judgment. Willingness to improve competency by periodically participating in some form of professional growth and to remain current with the latest developments in the profession. Ability to deal with various ethnic groups. Strong organization, communication, and interpersonal skills. Ability to establish and maintain effective relationships with students, peers, and parents. Must have skills in oral and written communication. Needs the ability to perform duties with awareness of all District requirements and Board of Education policies. Able to work collaboratively to achieve the school's and the District's overall goals.
Essential Job Functions
All functions are performed by established policies, procedures, safety and environmental regulations, and facility and computer security policies and procedures. Functions are subject to change occasionally to meet the organization's needs. Current essential functions include the following:
1. Administers first aid and prescription medications to students (under the direction of a health care professional) to provide emergency or necessary care by district, state, and federal requirements (by assignment)
2. Collects payments for fines, fees, and fundraising to deposit in proper district accounts.
3. Compiles data from various sources (e.g., student information, time sheets, calendars, expenditures/budget, newsletters, staff attendance records, substitute logs, etc.) to comply with financial, legal, and/or administrative requirements.
4. Composes various documents (e.g., correspondence, agendas, minutes, bulletins, reports, etc.) to communicate information to school and district personnel, the public, state officials, etc.
5. Coordinates various programs and/or activities (e.g., conference room usage, meetings, site in-service day activities, workshops, travel, accommodations, etc.) to ensure the availability of facilities and/or equipment and deliver services in conformance to established guidelines.
6. Maintains manual and electronic documents, files, and records (e.g., student enrollment/withdrawal information, emergency cards, discipline referral information, attendance records, facility use, contracts, timesheets, keys, security cards, work orders, etc.) to provide up-to-date reference and audit trails.
7. Monitors assigned activities and/or program components (e.g., school site budget, account expenditures, purchase order documentation, account balances, grants, etc.) to ensure compliance with financial, legal, and/or administrative requirements (by assignment)
8. Monitors students referred for illness, discipline, etc., to ensure their safety and welfare.
9. Participates in meetings, workshops, and seminars as assigned to convey and/or gather information required to perform functions.
10. To disseminate information to appropriate parties and process documents and materials (e.g., requests for field trip transportation, enrollment/withdrawal, daily attendance, report cards, discipline referrals, homeroom assignments, etc.).
11. Respond to inquiries from various internal and external parties (e.g., staff, parents, students, public agencies, etc.) to provide information, facilitate communication among departments, and/or provide direction as may be required.
12. Supports assigned administrative personnel to assist with administrative functions.
13. Other duties as assigned.
Salary Range:
$15.40 hour

Standard office equipment and software platforms such as Microsoft Office (Word, Excel, PowerPoint) and the Google Suite. Telephone, fax, copier, computer, calculator.
Physical/Cognitive Requirements:
You are regularly required to stand and move throughout a room and/or facility. You communicate verbally and electronically. You use your hands to handle or feel objects, tools, or controls and reach with your hands and arms. You are frequently required to stoop, kneel, crouch, and/or crawl. You are occasionally required to sit, climb, balance, and drive. You may have occasion to perform heavy lifting of up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus.
Environmental Conditions:
Work is performed in a school office setting, with exposure to a Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending, and reaching may be required. Job tasks are performed in close physical proximity to other people.
