Job Description

Title: Athletics Administrative Assistant

Reports To: Director of Athletics

Qualifications: 

The primary function of this position is to ensure and coordinate the smooth daily operation of the Athletic Department.  Responsibilities include providing a wide range of administrative, logistical and relational support to the Director of Athletics, coaches, student-athletes and families. 

Bachelor's degree and educational administrative support experience preferred. Must be proficient in Google Applications and experience with FACTS/RenWeb is a plus.

Duties and Responsibilities:

Administrative and Operational Support

  • Provide daily administrative support to the Director of Athletics including communication, document management, assisting with financial records and scheduling
  • Manage and maintain records for student-athlete compliance for participation 
    • Ensure GHSA (state association) and NCCS compliance for all teams, student-athletes and coaches
    • Monitor player eligibility and communicate updates to parents as needed
  • Provide game day operation support
    • Manage ticket sales through GoFan and coordinate gate workers
    • Assist with planning and signage
    • Verify officials and transportation
    • Manage student attendance in FACTS/RenWeb
    • Assist as needed at sporting events
  • Manage Athletic department financial processes
    • Place orders for small items and Coca-Cola products
    • Submit required purchasing paperwork to the NCCS Business Office 
    • Assist coaches with purchase documentation for teams
    • Manage cash boxes and receipts for deposit with NCCS Business Office
    • Provide Business Office with documentation for billing athletes for sports fees
  • Manage Athletic records, rosters and documentation

Logistical Support 

  • Produce a weekly schedule of all games and practices for internal use by coaches, US faculty, MS faculty, and Athletics staff
  • Secure officials and contracts for competitions
  • Coordinate transportation for teams with the NCCS Transportation Director
  • Enter and update schedules on FMX, the NCCS internal calendar system
  • Maintaining and updating information on NCCS website calendars
  • Coordinating facility requests for athletic spaces on campus
  • Assist with organization and maintenance of team uniforms
  • Assist with planning and execution of special events including Hall of Fame, Annual Golf Tournament and End of the Year Signings and Awards program
  • Assist coaches with season end parties and awards 

Communication and Customer Service

  • Serve as point of contact for students, parents, and coaches
  • Communicate upcoming tryout dates, game information, playoff details, etc
  • Ability to manage multiple projects and deadlines simultaneously and effectively
  • Effectively communicate with colleagues, students and parents, answering questions in a professional and friendly manner
  • Proactive problem-solver with high attention to detail and follow-through
  • Assist Team Parents and those responsible for managing team concessions as needed

  • This is an 11 month, full time (40 hours per week) contract position.
