Duties and Responsibilities (*Denotes Essential Functions)  

  • *Receives and assists with all customer service requests, inquiries, concerns from the university community regarding emergency work requests. Dispatches emergency requests to the appropriate section.
  • *Receives and assists with Customer Service Work Requests from various departments within the University system.
  • *Assists in the use of the Manoa's Computerized Maintenance Management System, primarily modules involving Customer Service Work Request, Work Management, Time Management, Inventory, Purchasing and Preventive Maintenance.
  • *Inputs and verifies data entry for accuracy, completeness and conformity with instructions and established procedures.
  • *Acts as liaison between requesting department and Facilities in monitoring progress of the Customer Service Work Requests and Work Orders and provides job status to requesting departments on a timely basis.
  • *Facilitates communications between requesting departments and Facilities on concerns regarding scheduling of work.
  • *Maintains internal records, files of transactions, etc., in accordance with established procedures.
  • *Assists in coordinating facilities usage schedule with various University departments, registered student organizations and other State agencies for general use facilities during non-academic periods (evenings and holidays).
  • *Determines the associated rental fees for organizations using University general use facilities in accordance with established policies, rules, regulations and practices.
  • *Maintains accurate key deposits of contractors requiring access to the University of Hawaii campus and its buildings to conduct repair and maintenance projects.
  • *Assists in collection of data (including feedback, concerns and problems) and perform analysis in order to recommend, suggest improvements and solutions to operational problems.
  • *Assists in maintaining records for all new equipment installed which specify preventive maintenance tasks for electrical and mechanical systems. Inputs data to schedule appropriate inspections as required.
  • Other duties as assigned

Minimum Qualifications 

  1. Possession of a baccalaureate degree in Business Administration, **Social Sciences, Education, Arts & Humanities, Natural Sciences or related field and 1 year of progressively responsible professional experience with responsibilities for facilities service administration, customer service; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in the area of facilities service administration and/or customer service demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with facilities service administration and/or customer service.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the facilities service administration and/or customer service.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing, spreadsheet, and database software.

Desirable Qualifications 

  1. Experience using computerized work order or maintenance systems.
  2. Experience using computerized scheduling or room reservation systems, or similar tracking systems.
  3. Experience working in facilities operations or maintenance administration in a post-secondary or similar large campus environment.
  4. Familiarity with UH Manoa policies and procedures.
  5. Demonstrated ability to develop online forms (e.g,. Kuali Build, Google Forms).
