The University of Arizona's Department of Mathematics within the College of Science invites you to apply to the position of Graduate Coordinator (Student Services Administration Professional II).

In this multifaceted role, you will serve as the primary contact for the Mathematics Department Graduate Program, including, but not limited to, recruitment, admissions, advising graduate students, ensuring graduate compliance with policies and procedures, monitoring student progress, supporting the Graduate Committee, and processing paperwork. This role is also responsible for assisting in managing graduate budgets and funding, as well as assisting with fellowship, scholarships, and any other awards provided to Department Graduates.

The Mathematics Graduate Program offers dynamic, advanced areas of study leading to Master of Science and Doctor of Philosophy degrees in Mathematics, preparing students for impactful careers in academia, industry, and beyond. Students in this program research various fields of Mathematics, including Algebra, Analysis, Applied Math, Geometry, Math Education, Probability, and Statistics. Assists the Director of Graduate Studies (DGS) and the program with support in:

Hiring and Teaching Assistant (TA) Support:

• Creating offer letters for new graduate
  students, sending out TA work agreements every semester, sending reminders for
  classroom visits, collecting mentor reviews, collecting TA evaluations, coordinating and helping
  administer language exams, entering external awards & tuition remission in
  UAccess, following
  up on probation cases, and keeping track of budget, fellowships, and tuition, and other
  duties as assigned.

Recruitment Assistance:

• Maintaining and updating
  all items in GradApp applications, organizing interviews/meetings, which may
  include ordering meals, coordinating lodging and reimbursements, and
  facilitating the design of recruitment materials.

Student Support:

• Serving
  as primary point of contact for all student needs, which may include, but is
  not limited to, questions/concerns about their plan of study, policies,
  petitions, goals and objectives, technical guidance, and problem resolution. 

Graduate Committee Support:

• Organizing
  agendas and attending weekly meetings, announcing and collecting nominations
  for awards, organizing students for review by committee collecting data for the
  committee, and other similar duties.

Website and Handbook Maintenance:

• Maintaining and updating information contained
  in Graduate Program portions of the Math website including special topic classes,
  recruitment, RTG, etc.
• Maintaining Math graduate program descriptions
  on Graduate College website.
• Maintaining and updating the Graduate Program Handbook.
• Assisting the Director of Graduate Studies in evaluation collection and recording.

Knowledge, Skills, and Abilities:

• Working knowledge of Microsoft Excel, Google Sheets, Microsoft
  Forms, Adobe Acrobat, mail merge, or similar applications.
• Knowledge of academic policies, procedures, and confidentiality standards related to student records.
• Strong organizational and project coordination skills, with the ability to manage multiple processes, timelines, and stakeholders simultaneously.
• Skill in coordinating complex logistics, including scheduling, events, travel, and exam administration.
• Strong written and verbal communication skills, with the ability to clearly communicate with students, faculty, and external partners.
• Ability to interpret and apply policies and procedures to ensure accuracy and compliance.
• Ability to prioritize and adapt in a fast-paced environment, managing competing deadlines and shifting priorities.
• Ability to maintain confidentiality and exercise discretion when handling sensitive student and academic information.

• Bachelor's degree or equivalent advanced learning attained through professional level experience required.
• Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.

• Experience in University of Arizona systems, such as UAccess (PeopleSoft), Brightspace, Watermark, or similar systems.
• Experience working with student information systems (e.g., GradPath, Brightspace, or similar platforms).
• Experience tracking budgets or coordinating financial processes, preferably in an academic or
  administrative setting.
• Experience advising or providing guidance to students in an academic setting.
