Job Summary:
The Receptionist serves as the first point of contact for visitors and callers at assigned Court Services and Offender Supervision Agency (CSOSA) facilities. This position manages front desk operations, provides accurate information to visitors and stakeholders, maintains visitor logs and access control records, and performs a variety of routine clerical support tasks to facilitate the efficient operation of CSOSA offices.
Responsibilities and Duties:
- Greet visitors upon arrival, determine the nature and purpose of visits, and direct visitors to appropriate personnel or offices.
- Operate a multi-line telephone system; answer, screen, and forward calls; record and transmit accurate messages in a timely manner.
- Maintain a detailed log of all incoming calls placed and received, including caller information and disposition.
- Provide accurate information to callers and visitors regarding agency services, personnel, and general procedures.
- Schedule and manage appointments for staff members using scheduling software or calendar tools.
- Issue visitor passes in accordance with CSOSA security protocols; maintain and secure the visitor log.
- Perform routine clerical tasks including photocopying, scanning, faxing, data entry, filing, and mail handling.
- Assist with preparation and distribution of informational materials, forms, and correspondence.
- Maintain the reception area in a neat, organized, and professional manner.
- Support other clerical and administrative functions as assigned by the COR.
Qualifications and Skills:
- Minimum education requirements: High school diploma or equivalent required
- Preference will be given to candidates with familiarity with CSOSA, DOJ, or similar federal agency environments.
- Demonstrated experience in a receptionist, front desk, or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) required.
- Strong interpersonal and communication skills; professional appearance and demeanor.
- Ability to handle multiple tasks simultaneously in a fast-paced environment.
- Experience operating multi-line phone systems, voicemail systems, and standard office equipment.
- Demonstrated reliability, punctuality, and professional conduct.
- Experience with visitor management software or access control systems.
- Bilingual communication skills a plus.
