About the Department

The Financial Aid Advisor provides direct support to prospective and current undergraduate students and their families, advising them in all phases of the financial aid process. This position works closely with the Assistant Director, reviewing and determining financial aid eligibility, and packaging aid for prospective and continuing students.

Position Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assists with the administration of financial aid processing, eligibility, and disbursing of funds to ensure compliance with federal, state, and institutional policies and regulations.

  • Processes weekly financial aid disbursements to students. 

  • Assists with reporting and reconciling the disbursements; requests required documentation for completion of financial aid packages as required by the Department of Education (DOE) or the College.

  • Reviews documentation for various aid applications in order to evaluate eligibility.

  • Compares data on students' applications, such as proposed budget, family income, and transcripts of   grades with eligibility requirements of assistance programs to make decisions on awards.

  • Creates financial aid packages, and sends notifications of awards using approved software.

  • Performs data entry of financial aid information across multiple platforms including PowerFAIDS/Jenzabar.

  • Maintains financial aid records consistent with program requirements and standards.

  • Implements recordkeeping steps and processes as requested by the Financial Aid Director and the Vice President of Student Affairs.

  • Interacts with Business Office staff as needed for maintaining records. Assists with accurate and thorough completion of financial aid applications.

  • Assists students, staff, and other individuals in the competition of financial aid applications

  • Reviews applications for completeness. Maintains current working knowledge of regulations.

  • Maintains current knowledge of verification and other federal processing requirements for compliance with federal regulations.

  • Maintains working knowledge of federal and state financial aid regulations.

  • Keeps current on each year’s Federal Student Financial Aid Handbook and other updates.

  • Stays informed of trends in financial aid programs via on-campus and off-campus trainings and discussions. Assists with default prevention, accreditation, and training as needed.

  • Assists with student loan default prevention efforts.

  • Helps the Director acquire information for accreditation needs

  • Presents financial aid information as needed to staff, faculty, students, and the public.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • If assigned, this position may require administrative work on grant-funded program activities and reporting.

  • Serves on College committees as assigned.

  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES NEEDED TO PERFORM THIS ROLE 

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and complex governmental regulations.

  • Ability to understand and write reports, business correspondence, and procedural manuals.

  • Ability to effectively present information and respond to questions from managers, students, parents, and the general public.

  • Can interact professionally and effectively with regulatory entities and College staff.

  • Skilled in basic mathematics and accounting.

  • Ability to calculate figures and amounts such as discounts, budgets, prorated amounts, interest, proportions, percentages, and variables.

  • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.

  • Ability to interpret a variety of complex instructions furnished in written, oral, diagram, or schedule form.

  • Excellent critical thinking and analytical reasoning skills.

  • Excellent accuracy and attention to detail and record keeping.

  • Excellent record keeping skills.

 

EDUCATION AND EXPERIENCE 

  • Associate’s degree and one (1) year of related experience and/or training, or an equivalent combination of education and experience.

  • Experience utilizing a variety of computer applications including, but not limited to, Excel, Word, Access, database programs.

  • Demonstrated ability to learn new computer programs.

 

PHYSICAL DEMANDS AND WORKING CONDITIONS

  • Frequently moving from stationary sitting positions to standing and walking.

  • Prolonged periods of sitting and computer use, with regular movement between sitting, standing, and walking.

  • Sustained attention to detail and accuracy when reviewing applications, processing data, and maintaining records.

  • Ability to interpret and apply complex federal and state financial aid regulations to determine eligibility.

  • Frequent communication and interaction with students, families, and staff, requiring professionalism, clarity, and the ability to manage multiple priorities in a deadline-driven environment.
