We invite you to be part of the dynamic Executive team as an Executive Administrative Assistant. Empass Healthcare is seeking a highly organized and detailed Executive Administrative Assistant, who will be a key figure in providing support and structure to the CEO. This is an opportunity to join a fast-paced and engaging team to assist with diverse projects as we build our footprint in the medical space.

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to the CEO with the highest level of integrity and professionalism
  • Maintain and update multiple calendars, prioritize time sensitive and urgent meetings
  • Perform travel arrangements and reservation as needed
  • Exercise independent judgment in the resolution of administrative problems
  • Prioritize and manage multiple projects simultaneously with lots of ambiguity and little to no supervision, while quality is not sacrificed 
  • Facilitate and foster relationships among C-Suite employees, Directors, and outside constituents
  • Coordinate department meetings: compose agendas, memos, take meeting minutes, and transcribe notes
  • Manage and handle confidential information in a timely fashion while maintaining discretion
  • Establish and maintain relationships with outside entities and vendors such as Insurance providers 
  • Develop relationships with various departments in coordination of special events, programs, and administrative procedure 
  • Receive and track relevant paperwork and electronic documents, including new agreements
  • Review and prioritize response to calls and emails, when appropriate   
  • Other duties may be assigned as needed
  • Candidate will assist the CEO managing all professional and personal contacts and activities. 

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal staff and external clients
  • Proficient in Microsoft Office Programs (MS Office – Word, Excel, and Outlook) 
  • Must be comfortable with technology
  • Must be able to:
  • Work under pressure and meet multiple deadlines, while maintaining a professional demeanor 
  • Work independently and to conduct assignments to completion within parameters of instructions 
  • Understand and follow organizational and departmental policies and procedures
  • Function with ambiguity and autonomously 
  • Recognize and maintain confidential information

  • Travel 70/30 when requested 

REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS: 

  • Associates degree with 5-8 years of related experience, or bachelor’s degree with 5 years of related experience working with C-level executives
  • Project Management experience, 3-5 years preferred
  • Experience with scheduling tools including artificial intelligence (A.I.) systems. 
  • Experience with Social Media (Twitter (X), Instagram, Facebook, LinkedIN) 
  • Experience with employer systems, similar to Paylocity, ADP, Sage
  • The ideal candidate must have experience, superb organizational skills, thrive in a collaborative environment and multi-task
  • Strong judgment
  • Personable, articulate and professional in presentation.
  • High energy, self-motivated and able to prioritize tasks-organized and meticulous
  • Superior time management skills
