Job Description

The part-time Summer Program Manager is responsible for the daily on-site coordination and operation of the English Language Institute (ELI) and International Special Programs (ISP) summer group programs. The role supports the academic delivery of short-term international programs and ensures that students, faculty, and group leaders have the logistical support necessary for successful program operation.

 

This is a highly active, hands-on position. The part-time Program Manager spends their day working directly with classrooms, faculty, and international student groups as well as performing office-based administrative work.

 

The position requires strong organization, clear communication, and the ability to respond quickly and calmly to unexpected issues in a fast-paced, multicultural environment.

 

Position Duties 

  • Conduct daily rounds of classrooms to verify instructor attendance and classroom readiness. Ensure classrooms are open, prepared, and properly assigned. Deliver class rosters and other classroom materials at the start of each session.
  • Assist faculty with classroom logistical needs and communicate concerns to program leadership.
  • Troubleshoot and resolve first-day roster and placement issues in coordination with administrative staff and group leaders.
  • Help students locate classrooms, especially during the first days of each program session (including Giocamondo and IEP classes).
  • Coordinate and support supplemental tutors or academic assistants assigned to international groups.
  • Serve as liaison between instructors and program administration.
  • Serve as a primary daily contact for international students and visiting group leaders.
  • Assist with student orientation and first-day transitions.
  • Monitor attendance and report concerns.
  • Help supervise student movement between residence halls, dining, and classrooms.
  • Support students experiencing adjustment, communication, or schedule challenges.
  • Lead or assist with campus tours and city excursions to points of interest.
  • Capture student life through photos and videos at department events.
  • Act as an ambassador for the university during orientations, farewells, and ceremonies.
  • Provide on-site problem solving for student issues during the academic day.
  • Provide staffing support for key program activities and special events.
  • Coordinate and supervise airport transportation for international partners. Manage bus arrivals and departures, including early morning and late evening schedules. Serve as the on-site contact for transportation vendors and group leaders. Monitor flight arrival information and adjust plans as necessary. Ensure students are accounted for during transfers.
  • Communicate delays, changes, or transportation issues to program leadership and campus partner.
  • Implement daily program schedules and coordinate classroom usage.
  • Work closely with Residence Life, Public Safety, Dining Services, and campus offices.
  • Assist with student arrivals and departures.
  • Support excursions, campus tours, evening activities and special programming.
  • Respond to schedule changes, room changes, transportation delays, and other operational challenges.
  • Provide staffing coverage for evening and weekend events as needed.
  • Maintain incident reports and program documentation.
  • Organize program supplies, nametags, and student certificates.
  • Provide staffing coverage for evening and weekend program activities as needed.
  • Assist with and supervise certificate ceremonies, orientations, and special events (including Friday or Sunday ceremonies).
  • Support residential and student life activities in coordination with Residence Life staff.
  • Respond to urgent student or program concerns outside standard business hours when on duty rotation.
  • Communicate regularly with ELI and ISP leadership regarding program status.
  • Provide daily operational updates during active sessions.
  • Coordinate communication between faculty, staff, and group leaders.
  • Create student records and enroll students in courses using Banner.
  • Assist with departmental clerical tasks related to program preparation and execution.
  • Support pre-program setup and end-of-program closeout.
  • Performs other such duties as may be assigned from time to time.     

 

Position Qualifications

  • Bachelor’s degree required.
  • Experience working with students, camps, international programs, ESL programs, or youth programs.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize in a fast-paced environment. Willingness to learn.
  • Excellent interpersonal and cross-cultural communication skills.
  • Ability to work independently and make sound decisions.
  • Reliable daily on-campus presence during the program period.
  • Ability to handle confidential information with discretion.
  • Experience in higher education, study abroad, or intensive English programs.
  • Familiarity working with short-term international student groups, as a group leader, or trip leader.
  • Knowledge of student information systems (Banner or similar).
  • Experience coordinating schedules, classrooms, or academic programming.

 

Work Hours

9:00 a.m.–5:00 p.m., with some weekends or evenings. Exact hours will be determined with the supervisor; generally up to 20 hours per week. Ability to work flexible hours, including evenings, occasional weekends, and peak arrival and departure days, which may require early mornings or late nights.
