Job Description

The Imaging Program Coordinator I provides operational and administrative support within an assigned imaging service line. Working closely with radiologists, imaging technologists, schedulers, and clinical staff, this role ensures that patient records, orders, system worklists, and correspondence are accurately maintained and that all necessary information is in place prior to a patient's appointment.

 

JOB SPECIFIC DUTIES AND RESPONSIBILITIES:

  1. Process and facilitate incoming orders and referrals into the appropriate EMR and imaging systems, ensuring accurate and timely data entry.
  2. Maintain and clean imaging system worklists on a daily basis, resolving discrepancies and escalating items requiring clinical follow-up.
  3. Enter and verify patient information in the EMR, including referring provider details, outside records, and supporting clinical documentation.
  4. Request images and reports from outside facilities and route appropriately within departmental systems.
  5. Manage patient correspondence, including generating and mailing letters and processing returned mail per department procedures.
  6. Assist physicians and clinical staff with administrative and system-related requests.
  7. Provide scheduling support as needed during high-volume periods or staff absences.
  8. All other duties as assigned by supervisor or director.

EDUCATION, CERTIFICATION, LICENSURE, REGISTRATION:  

  1. High School diploma or GED required.

 

EXPERIENCE, KNOWLEDGE, SKILLS and ABILITIES:    

  1. Minimum one (1) year of computer experience in a medical office or healthcare setting.
  2. Familiarity with imaging or clinical department workflows and the importance of complete documentation prior to patient arrival.
  3. Strong knowledge of medical terminology.
  4. Proficiency with EMR systems and imaging platforms; experience with service line-specific reporting systems preferred.
  5. Strong organizational and time management skills; ability to manage multiple worklists and competing priorities simultaneously.
  6. Excellent written and verbal communication skill.

 

REASONING ABILITY:

  1. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  2. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.

 

INTERPERSONAL SKILLS:

  1. Must interact and communicate both verbally and in written form.
  2. Must interact and exchange information regarding patients with physicians and other departmental personnel, and outside agencies on a frequent basis while respecting the confidentiality of patient information.
