We have an exciting opportunity to work within the progressive and supportive essential professional service at Lancaster University; People and Organisational Effectiveness (P&OE).
This role sits within the HR Admin & Service Excellence Team of the P&OE division, who strive to deliver excellent customer service both to internal P&OE and wider university colleagues, along with external candidates and customers.
You will provide an professional, effective and efficient HR Admin service to all areas of the University by maintaining service level agreements and customer service standards. Utilising the HR Systems to process all aspects of the recruitment and the employee life cycle. From job adverts, through to contract generation through to maternity leave and much more.
Part of the role will be to answer queries as first point of contact for the division and provide the first response from a shared query management system. The role will also have a continuous improvement focus and you will get the opportunity to contribute towards service and process improvement suggestions.
You will be supported by and work with 8 teams of highly dedicated HR professionals within the division and will acquire process, operational and general knowledge. This provides the perfect opportunity to identify how we can improve our processes and work more efficiently. You will have the ability to make service improvement suggestions that will contribute to a smoother and more efficient service.

Job Description
Directly responsible to: Team Leader – HR Admin
Contacts Internal: Departmental Officers, Faculty Resource Managers, Recruiting Managers, HR colleagues External: Applicants, Right to work agencies, Occupational Health provider, Disclosure and Barring Service, Advertising Partner, Relocation Partner
- Timely and accurate inputting of data to the HRIS (currently People XD) to ensure it reflects the current status of employees, including the production of contracts of employment, the processing of resignations and other changes to contracts throughout an employee's life cycle.
- Inputting data to, and using the e-Recruitment system (currently Stonefish) to provide an effective service to recruiting managers and applicants. Liaison with the advertising agency over the effective placement of external adverts.
- Ensuring compliance with UK legislation and LU policies and procedures in relation to right to work, occupational health, criminal record and associated checks, including assisting with “Day 1” compliance checks prior to approving the payment of salary
- Provide first line guidance to staff and managers about HR policies and procedures, such as recruitment, maternity entitlement, annual leave entitlement and contribute to information provided via the HR webpages
- Maintenance of manual and electronic filing systems including uploading copies of documentation to the HRIS and e-Recruitment system.
- To make recommendations to improve the efficiency of existing processes and participate in process reviews as required, taking an active part in service improvement projects.
- Carrying out of any other duties and projects appropriate to the grading of the post as may be directed.
Person Specification
- Effective numeracy, literacy and word processing skills: GCSE Maths and English or equivalent qualification.
- Experience of work in a HR department: Practical experience/ understanding of the processes and the recruitment/employee life cycle.
- Experience of handling confidential information: Knowledge of Data Protection legislation.
- Organisational skills: The ability to organise and prioritise own workload to ensure an efficient service is delivered and meet competing deadlines.
- Team player: Be an excellent team player with a flexible and proactive approach to work.
- Service Excellence: Able to demonstrate examples of offering excellent customer service to a wide range of customers.
